"Schedule a meeting" HR Task - Outlook Calendar Integration - Guidance needed on how to implement

Hello,

 

In this HRSD blog post (also copy/pasted below), there is an HR Task type "Schedule a meeting" that allows HR Agents to:

1) Schedule a meeting with an employee via the "Schedule calendar invite" button.

2) View the availability of the employee via a pop-up calendar UI when the above button is selected to choose the meeting date/time.

 

This looks like a great feature and we want to implement this feature for our HR agents in our company's instance. However, I'm sure where to start:

  • The "Schedule calendar invite" UI button does not appear (both on my PDI, as well as our company's instance). when I create a new Task, and set the state to "ready or work in progress" (screenshot attached)
  • The Product documentation only explains the features and does not explain how to implement the feature.
  • I was unable to find any other community posts that explained how to implement this.

Our company is currently in the Xanadu release, and we do have both the required Microsoft Exchange Online spoke, as well as the Agent workspace for HR Case management 3.3.1.

 

Any guidance would be appreciated. Thank you!

New HR Task of type “Schedule a meeting” 

Persona: HR Agent 

Dependency: MS Outlook spoke 

Availability: Agent workspace for HR case management 3.0 or Washington DC family release 

 

The new HR Task of type “Schedule a meeting” helps HR agents to schedule an in-person meeting or a virtual meeting with an employee. Having the MS outlook spoke configured also allows an agent to view the employee's availability and then send them a meeting invite. 

 

Once the HR task of Schedule a meeting is assigned to the HR agent, the agent can then mark the task as ready or work in progress. This enables the UI button “schedule calendar invite” which brings up a UI which can be used to view the employees' calendar and based on availability as slot can be scheduled. This meeting invite can also include external attendees who will be sent the meeting invitation.

Hi @Chanj72_1412,

 

I am sure, you must have followed below steps

Ensure the following:

1. Task is assigned to HR agent.

2. Task is in Work In progress.

3. You have logged in as the assigned HR Agent.

 

This should be able show the UI.

Note:

  • The calendar UI and invite functionality rely on Microsoft Graph API permissions.
  • You may need to work with your Azure AD admin to grant consent for calendar access.

 

If still problem persists, raise a HI Case.
