Hi, I'm having issues understanding where to begin to inform a client who needs help with some approver licenses. The client states that the usage of the Approvers (Business Stakeholder) licenses is extremely high.
This is the example provided:
Product Name | Unit | Contract Quantity | Overage | |
Customer Service Management Standard | CSM User | 6 | 6 | 0 |
Approver User | Approver User | 5 | 177 | 172 |
Service Management Suite | Fulfiller User | 127 | 121 | -6 |
Then she said this:
Do each of these people need an approver license or is it a mistake that can be corrected? Also if they are indeed using this number of Approvers, they will need to purchase 172 additional licenses (they only own 5).
I want an answer that could let me understand what should be the next step.

Hi Eliexer,
Licensing and subscriptions can leave scratching heads.
For the question, can you check if the users are added to a group that grants business_stakeholder role? Or if it is associated directly.
You may/may not need 177 count if you are able to verify if all of them need access or are granted mistakenly.
If intention, then yes, you need to purchase more. However, suggestion will be to check with the ServiceNow Account Representative always for licensing and subscriptions

Hi @Eliexer Diaz ,
You can go to sys_user_has_role table n check for approver.user or approver.admin role how many users have by applying filter
You will get the number of users to whom the approval role is assigned.
Based upon this u can decide who should have the role n who should not.

Thanks, that's very helpful. How or where can I see those 5 users with the licenses she talks about? Maybe that way I can narrow the licenses and the users by group.
