Hi Team,

 

We are going to automate some of the administrative tasks such as ID card request,Cab booking requests etc etc,so there are around 16 type of requests and we have excel templates where the user fills all the related details .Now it is being used in different tool.we want to build it in servicenow,so What's the best approach,we do not want to create 16 different catalog items for all the type of requests as there are many variables.

 

And if we build a single catalog item, and just give the link of templates, where user can download and fill it and submit the request,but the issue is how can we track it in future,its just an attachment.

Is there any possibilty of converting the attached details and populating it in variable editor and showing it in requets.

 

Or any other design

My suggestions

-> If you are having unique process to fulfill those 16 type of requests then better to have 16 catalog item and have approvals, tasks etc associated to those catalog item.

-> Once user submits RITM you can generate a CSV or PDF of the variables associated and attach to the RITM

-> you can also use reporting in future to track the status of each type or request.

Hi @Kaustubh k ,

 

If the approval process and rquirements are different than you should create 16 different catalof items. As far as you are saying that there will be many variables so you can utilize variable set in case few variables are common ex:- requested for, requested by etc.  Attachment approach is looks again quite manaual not automation. If you have catalogs you can get the reports on Variables. 

If you think 2-3 catalogs have similar kind of approval/fulfillment process you can club them in one Catalog item.  You can also explore Order guide but here you need to be very cautious for Mandatory fields in case user wants to order for only 1-2 items.
