Licensing for Approvers and Fulfillers

Hi,

I have a question on Servicenow licensing for Approvers and Fulfillers.

I understand that an Approver can perform all requester actions and view or modify requests directed to the approver. Approvers have the approver_user role, but no other roles and a Fulfiller can access all functionality based on assigned roles. Fulfillers have one or more roles other than the approver_user role.

Do we need separate licenses for both these roles?

If I have Fulfiller role, can the same license used for approver as well?

Please advise.

I agree with you Kevin,



Right now, there is no easy way of enforcing this restriction as out of the box, email approvals are allowed for all kinds of users with or without roles.



Will service now check if an approval was done by a licensed users or not?


I'm not sure that I understand completely Kevin.   In order to be added as an approver to a record, let's say as an approver of a Change or a catalog item, the user has to be set up in the system as an approver of that specific CI or workflow.   Anyone set up as an Approver, or possible approver, through rules may then be expected to act as an Approver.   Can you give me an example of when an Approval would not be expected so I can better understand your concern?

From my experience, if I want to add someone to approve a request item, then I just to the Approvers, edit, find the use, add them, then select them and request approval - that behaviour is possible for everyone in our organisation.

Does ServiceNow changed licensing policy in London release. As per my knowledge after Geneva, Email approvals also consider as license. But I would like to know is there any changes in license policy in London version. i checked the London release, I couldn't found any relevant information about licensing in London. Could you please tell us where can I get authentic information about update license model apart from Customer's product purchase order.

I have worked in a company with the unlimited usage license.  I am in a new company that tracks fulfillers.  They also have approver licenses.  Does this mean that anyone in the company that approves a request must have this license?  We have hierarchical approval for many items. so manager approval is required.  A manager may approve once a year or less -- yet we still need to give them a license?  It will get very expensive for our organization, very fast.  Am I understanding correctly?

We haven't had anyone unable to approve.  Is it based on concurrent usage or individual role allocation?
