Hi i am working on software asset management. i want to know the concept of un-allocated license. I know the basic that those licenses which are not allocated those are un-allocated license.
But my question is that in software license form from which field we allocate the license ?

Hi Anshul,
In the Rights you can mention the total number of licenses for a particular product.
And in User entitlements, you can mention the names of those who are using the licenses.
So basically if rights are 100 , user entitled to use should be 100 and not more.
There is a buisness rule which makes this check.
Apart from this if you create a counter for this and run it , you can get to know details like -
Entitled in use: Number of people who have been allocated a license and installed the software. (Note: The software licenses entitled to users/assets, data matches and present in software installation table).
Entitled not in use: Number of people who have been allocated a license but did not install the software. (Note: The software licenses are entitled to users/workstation, but do not show in the software installation table)
Not entitled: Number of people using an unauthorized copy of the software. (Note: When the software licenses do not have the same 'installed on' data entered in asset/user entitlement tab as in the software installation table for the same model)
Not allocated: Number of licenses not assigned. (Ex- If a software model has 3 licenses and only one of them have asset or user entitlement filled and the other two licenses has no data entered into asset/user entitlement tab, Not allocated will show 2) .

Means this all cycle is processed by discovery. For Right use field data has to be in Software installation and Software Usage table. We cant allocate data manually.

Yes "Rights used" data comes from software installation. But incase you dont want to use counter, you can customise the software form to give you Rights left which can be a calculated field with Rights - (Rights used in Asset/user entitlement).
But it wont be able to give you details like entitled in use,not entitled all those stuffs,

But what about those model which are not discover. Can't we able to calculate "installation details" of those model?

Sonali has been taking good care of you here, but I would like to clarify a couple things for you here:
- The License Type field on the Model serves no purpose but to provide information, so there is no requirement to set this.
- For any given license, you should only entitled to Users or Devices, not both. The one you use depends on how the software is licensed. If it is a machine based license, entitled to devices. If it is a user based license, entitle to Users.
Here is an image that might help clarify how these different components fit together.
To add to what Sonali has said already, Installs (or Software Usages) need to brought in from some source. Installations would come in from a discovery source of some sort. Usages come from a database from the software that you measure.
Discovery models are created automatically from these records.
You need to associate the Discovery models to the Software Model.
You create Software License records that point to the Software Model.
Entitlements (allocations) are set on the Software License records.
The Software Counter is where you identify the License Type that determines how the Rights owned are calculated from the Software Installations (or Usages).
