Visual Task Board restriction

Hi,

Does anyone know how you can restrict what is allowed is guided boards? 

I want to allow ITIL users the ability to use boards but at the moment an ITIL user can select a pile of things, the worrying this is that it allows them to view records even though they dont have access to them.

I just want to restrict them to create boards for Incident, Problem and change.

Hey Riaz,

This one is sure annoying and I have been down the very same path. Leaving access open will very quickly create a mess.

Visual Task Boards unlike other parts of the platform is a locked application. As an admin we cannot configure these lists to our business requirements.

I had a very long HI ticket running with support and to cut a long story short;

That lists respects all tables where a user has access. To remove it from the list, prevent all access.

It is not acceptable to have to go through all these tables and start restricting ITIL users.

 

 

We have a specific way of creating HR cases where we do not want cases adding via a VTB and want to restrict access.

However,  we cannot remove access for users as they will be unable to create cases via any other method also such as a portal.

 

The only workaround currently available is to have a business rule on the vtb table to prevent users from creating a board.

Also, as the visual task board application is locked it will not display any business rule notification until after you move away from vtb.

Again, not very graceful.

We have created some help content to explain but figured it was best to restrict the mess just in case as in your screenshot, users started creating coaching boards if though you may not be using it or have configured it for you business process yet. 

I did log an enhancement request to enable more granular configuration as other parts of the SN successfully accommodates.

Are you saying that if they pick one of these VTBs they have view rights that ACL's would usually restrict?

I have not gone down to ACL level and checked that but certainly, all these tables should not be available for an ITIL user, especially if they do not have that role.

I just want to hide what is available to select.
