Knowledge Admins, Ownership Group, Assigning Group Members

Kim27

Hello! I have a few questions about ownership groups I'm hoping the group can help answer.

  • Do ownership groups trump the capabilities of knowledge admins? Once an article is created, approved, and published by an ownership group, can a knowledge admin edit, publish, or archive the content without being a member of the ownership group?
  • When creating ownership groups, I only see the capability to add individual users. Is there a way to add groups? Examples might include AD groups, assignment groups, or roles.
  • Finally, if you are using ownership groups and want to share any lessons learned, I'd be interested in hearing them!

Hello @Kim27

Greetings!

1) Yes,knowledge base owner and admin are able to supersede ownership groups. I Users with canContribute permissions, including the knowledge owner, knowledge manager, and knowledge administrator, can check out a published article unless there is already a checked out version.

2) it is not possible I believe. Modify the form layout and see if you can bring roles or Groups. If they are not available, then you cannot add groups or roles

3) (adding the below content I came across, sharing so that it might be helpful)

You can also create an ownership group from an existing group

Navigate to System Security > Users and Groups > Groups.

Click a group.

In the Type field, enter Knowledge.

Note: If the Type field does not appear on the form, configure the form layout to add it.

In the Manager field, enter a manager and add the role knowledge_group_manager.

In the Roles related list, click Edit and add the role knowledge_group_member to the group.

refer the below docs which might be helpful to you.

Kind Regards,

Ravi Chandra.

I would like to have our knowledge articles managed by Groups.

I'm guessing some types of groups shouldn't be available in the list of possible knowledge owners. We have about a hundred groups I need to sort through. What should I look out for when allowing a group to be a knowledge owner?
