I have been asked to develop a catalog request that may be outside the functionality of a standard request form and I am looking for some advice. Below are the teams requirements.
The catalog request will capture equipment requests.
We will not have specific pieces of equipment; rather, just checkboxes for laptops, desktops, monitors, and various accessories. Each requested item will have a quantity associated with it.
There would be two choices here on how to proceed:
1) A single task for requisition and tracking that will dynamically create equipment variables to align with the order. for example, if there are two laptops, one monitor, and a mouse. Four variables would appear. It has to work for any combination or amount of equipment. Next to each equipment variable would be a delivery variable. When the item is delivered, the task is updated NOT closed and a notification is sent to the IT group to configure or deliver the equipment. Equipment can be received at any time and not always together.
2) Multiple tasks are created for each piece of equipment in the order. When the equipment comes in the task is closed and the configuring team is notified to pick up the equipment so it can be configured or delivered.
Finally, the request can be for a single individual (requested for) or multiple recipients.
Upon placing the order the recipients may not be known and there should be an ability to add them anywhere in the process after the order was placed.
What I documented above were the details of the request. I am concerned about how we can make variables appear or create tasks based on the amount of equipment. For example 5 laptops. Would be five variables or 5 tasks. But that number can be greater or less. The requester wants the front-end form simple and will not agree to have a request form for each recipient.
