Assistance Needed: Automated Daily/Monthly Tasks in ServiceNow

Good Afternoon,

I am new to ServiceNow and need assistance automating two task/request processes. Despite my efforts, I haven’t managed to get it working the way that it needs to and I want it to. The details are below: 

 

Requirements:

  1. Daily Task/Request

    • At 09:00 daily (Working days only), automatically generate a form for the ServiceNow Admins group.
    • The form contains simple checklist items (e.g., backup verification, checking host pools).
    • The form is assigned to the Service admins group for filling out
    • An admin completes and submits the form
    • Once the form is marked Closed Complete, reassign the task to the IT Department Head for oversight
  2. Monthly Task/Request

    • Same process as above, but triggered monthly with different questions.

What I’ve Tried:

  • Created a request item with questions/variables.
  • Built a flow that triggers daily, creates the record, and assigns it to the admin group.
  • The request is created and assigned correctly, but users can only view variables—they cannot complete the questions or update the responses.

Request: Could someone provide a step-by-step guide to achieve this? I am open to sharing screenshots (with sensitive information removed) if that would help. If there is any relevant documentation detailing the process, please point me in that direction.

I appreciate any guidance, and please assume I have minimal ServiceNow experience.
