Hello ServiceNow Community,
I need some assistance regarding the minimum role required for a user to share user dashboards.
We have users who need to share dashboard but assigning them the `pa_admin` or `pa_power_user` roles grants more permissions than necessary.
For regular, non-Performance Analytics dashboards, what would be the minimal role or combination of roles that should be assigned to enable users to share their dashboards without giving them excessive permissions?
Are there any specific roles or custom role configurations recommended for this purpose?
Thank you for your help!

Hi @VyshuK!
If the user has a minimum role to manage reports, then he will only be able to share the dashboards he created.
The Report user [report_user] role can be used for this.
This documentation will help you find the most appropriate role for each situation:

Hi Isaaac,
Thank you for your Quick response.
I think you have misunderstood the question. By default, user does not have option to share his dashboard to another user. The report_user role is where the user has permissions to view and create the shared reports. But doesn't have permission to edit, update, share or delete the shared reports.

By default, users can share reports and dashboards that they have created themselves.
To share reports and dashboards created by other users, an admin role such as report_admin is required.

Hi @VyshuK ,
Have you looked into the product documentation:
Role required:
- You can share dashboards that you own with other groups and users.
- Only users with the admin, dashboard_admin, pa_admin, or pa_power_user role can see roles in the Sharing panel.
- Users with the pa_admin or pa_power_user role can share dashboards that they can edit.
- Users with the admin role can share any dashboard they can access.
According to above, if the user has created the dashboard themselves, they will be able to share the dashboard without specific role.
