Without question, the workplace is changing and businesses are challenged to adapt to a “new normal” that is requiring digital transformation to happen quicker than many anticipated. More employees are working remotely, IT assets are everywhere, the need for SaaS is rising, and finding cost-savings opportunities across the business is not only critical in keeping day-to-day operations running smoothly but is a key factor driving innovation and business growth.
Our customers looking for a quicker path to value (and savings) are turning to their IT teams and the asset estate to discover opportunities to reduce hardware, software, and cloud spend—dollars that can be redirected back into the business. Getting to savings quickly doesn’t mean having to tackle the entire IT estate right away, however. You can realize savings within days— here’s how our IT team saved $740K in estimated renewal costs using ServiceNow® Software Asset Management (SAM).
We started with SaaS
Following our COVID-19 shift to work from home, a number of employees were in need of a whiteboarding collaborative application. We had a small footprint with Miro, a whiteboarding application company that provided a three-month trial period that enabled us to add 4,503 employees with access to Miro through June 2020.
Coincidentally, our renewal period was just around the corner in July. We used a Miro integration with ServiceNow SAM SaaS License Connections and Flow Designer (available out-of-the-box with the Now Platform®) to monitor Miro’s usage data and get an accurate count of active employee licenses for renewal. SaaS License Connections gives us the capability to build low-code integrations with any SaaS application with an API, providing deep, actionable usage insights across a variety of:
- API Types (REST, SOAP, etc.)
- Authentication types (OAuth, JWT, etc.)
- Vendor API specifics (endpoints, pagination scheme, rate limits, etc.)
This was an unplanned budget cost, so we wanted to only secure licenses that were being used. SAM helped us do that. Out of 4,503 Miro users, we found only 1,182 users were using Miro actively. We saved $740k—or the cost of about 3,300 licenses—in potential renewal costs. With this integration, we continue to analyze daily license usage and automatically reclaim any unused licenses, helping control our costs. With this big win, we’re excited to expand this process by integrating SAM with other SaaS products within our environment.
The current business environment requires all of us to be creative and to explore as many avenues as possible to reduce business costs and remain resilient. In our case, an unplanned SaaS cost gave us an opportunity to let our technology work for us. We were able to strategically right-size our renewal with Miro to ensure our teams had access to the software they need while saving a tremendous amount in potential renewal costs.
