How to manually update license consumption for Office 365 Extra File Storage capacity-based license

Hi Team,

I'm looking for guidance on the recommended ServiceNow SAM Pro approach for managing Microsoft Office 365 Extra File Storage consumption.

Current Situation

We have:

  • Product: Office 365 Extra File Storage
  • Entitlement Quantity: 23,000 GB
  • Microsoft SharePoint Tenant Storage Capacity: 64.76 TB
  • Current Storage Usage: 54.30 TB
  • Derived Extra File Storage Consumption: ~12,289 GB
  • Compliance Status: Compliant

The entitlement is available in ServiceNow; however, I cannot find a standard method to record the actual storage consumption against the entitlement.

What I've found

  • Microsoft 365 integration imports subscription and entitlement information.
  • I do not see an out-of-box mechanism that automatically imports SharePoint tenant storage consumption for Office 365 Extra File Storage.
  • The product is capacity-based (GB) rather than user, device, or installation based.

Questions

  1. What is the recommended approach to record actual Office 365 Extra File Storage consumption in ServiceNow SAM Pro?
  2. Is there any out-of-box capability to update this usage?
  3. Should this be modeled using:
    • Resource Values (samp_sw_resource_value)?
    • Custom License Metric?
    • Another supported SAM Pro capability?
  4. If Resource Values are the recommended approach:
    • How should the records be created?
    • How should they be linked to the entitlement/software model?
    • How can reconciliation calculate: Owned: 23,000 GB Required: 12,289 GB Available: 10,711 GB
  5. Has anyone implemented an automated integration from Microsoft SharePoint Storage reports into SAM Pro for this use case?

Objective

The goal is to have ServiceNow reconciliation reflect actual Office 365 Extra File Storage consumption rather than maintaining the calculation externally in an ELP spreadsheet.

Any guidance, best practices, implementation examples, or screenshots would be appreciated.

Thank you.
