Bulk approve knowledge articles?

I wanted to see if anyone else out there is bulk approving knowledge articles to be published. Scenario: we have hundreds of articles that are expiring around the same time and only need to have their "valid to" date extended.

 

I've been having the article author check them out and I was able to perform a bulk update on the "valid to" field to set the desired expiration date, but when I select all of the articles in review and use the "Actions on selected rows" drop-down > Approve, I get a blue banner at the top of the window stating "Action not authorized".

When I check the list of Published articles, I see them all listed so I'm not sure what action it's referring to. I have the 'admin' role as well as being listed as a knowledge manager in this knowledge base.

 

Has anyone seen this before or know what the error/warning is referring to?

Hi Ashley, sorry if this is too late, but I just came across your post. Instead of having to check out the article, you can bulk update them via the list view. 

  • Arrange the list so the articles you need to update are all together. 
  • Click on the first articles valid to field in the list view. Then hold down the shift key and click again. You will get a cross. Do NOT let go of the shift key. 
  • Scroll down to select the fields you need to update. They will become shaded. 
  • Let go of the shift key, double click on the first valid to date field. All other fields will remain shaded. 
  • Change the date in the pop up window. 
  • Click the green check box. You should see a message XX fields were updated.

Hi Kim and thank you for the information. I looked at the link you provided and changed the list setting on the knowledge table in our TEST instance. I'm now able to select multiple records by using the CTRL + click method, but when I double-click to change the Valid To date, I get a security message.

Hi Ashley, sorry about that. 

You may need an admin to turn this on for you, but here is what will need to be done:

Navigate to your knowledge article list view, then right-click any column header and choose: Configure > List Control:

Then change the list edit type from "Disable list editing" to something like "Save immediately (cell edit mode):

Hi Kim, I was able to change the List Control setting as shown in your screenshot but got the security message when I went back to try to change the Valid To date on published KB articles.
