Hi all,
So excited to start utilizing the Ownership Groups within our Knowledge Articles as we expect to have different ownership groups for approvals by category (as opposed to the overarching approvals that route to the KB Owner/Managers). We plan to basically have pre-existing ServiceNow groups act as the ownership groups for their corresponding categories.
Is there a way to set a pre-existing group as an ownership group? Or do I have to create an Ownership Group and then add the pre-existing group under that new ownership group?
Trying to avoid redundant group levels....
Thanks in advance!
Kristi

Yes, it's possible to use existing groups. Please check documentation here

Note: You can also create an ownership group from an existing group.
- Navigate to System Security > Users and Groups > Groups.
- Click a group.
- In the Type field, enter Knowledge.
Note: If the Type field does not appear on the form, configure the form layout to add it.
- In the Manager field, enter a manager and add the role knowledge_group_manager.
- In the Roles related list, click Edit and add the role knowledge_group_member to the group.

Hi Sarup Paul,
we are looking to amend over 400 user groups to become ownership groups and at the client 'show and tell' our administrators asked whether we definitely need to add the 'knowledge_group_manager' role to the group managers as we already have an internal process in place to control groups and group membership which could be amended to also cover ownership groups.
I appreciate that we need to look at the implications of doing this but can you please let me know whether, apart from ownership group management and feedback task assignment as mentioned below, you would expect any other areas to be impacted?
Many thanks in advance.
knowledge_group_manager | Knowledge group managers can add or remove members in ownership groups managed by them. They cannot change the manager assigned in their groups. The manager can only be reassigned by the knowledge administrator.
Knowledge group managers are assigned feedback tasks by default. They can reassign tasks to another group member, or group members can assign a feedback task to themselves. |

Hi Kristi -
In the same boat as you....wondering which already existing group did you use and how has it been working out?
