Is there a way to move Knowledge Categories between Knowledge Categories?

Example: We currently have a Knowledge Category of Acute Case Management that is a sub category or Quality&Regulatory. Support for this has changed and Acute Case Management needs to be moved under Nursing Informaticist.

Is there a way to move these or do I need to build new Categories and then move each of the articles?

You can move articles between knowledge bases. For example, you may want to move articles from the default knowledge base when migrating to knowledge management v3.


To move an article:


  1. Edit the article.
  2. Change the Knowledge Base field value.
    After moving an article, the Apply Default Values dialog box prompts you to populate certain fields in the article with default values from the new knowledge base. If the new knowledge base has no default values, the dialog box does not appear.
  3. If the new knowledge base has default values, click OK to overwrite fields with the default values, or Cancel to leave all fields unchanged.
  4. Click Update.

You can define default values for articles in knowledge bases you manage using the Set default knowledge field values field on the Knowledge Base form.

Thank you for this information. I am actually trying to move the categories from one category to another. Example: Currently the Acute Case Management and Readmission Prevention categories are under the Quality and Regulatory Category. I would like to move them and all the associated articles under the Nursing Informaticist Category (See diagram below). I have a feeling I am going to have to create new categories under Nursing Informaticist and then follow your instructions above to move the articles individually?

Hello,

I'm new to ServiceNow but have some KBM experience, so I apologize if I don't have the "best" way to go about this.

Moving\activating-deactivating KB categories is something I call bulk KB editing, anyone who deals with a sizable KB knows what this is all about, if you are moving your first steps in bulk editing please be careful, bulk changes you make can affect large portions of your knowledge base.

In SN here is how I do it: I've created a report that shows me the categories, make sure the "full category" is your first column it will make navigating this table easier

You can use the report as is or add it to a dashboard.

When you click on a category you will see the tick box where you can activate it or uncheck it to de-activate it (this will show\hide all articles within) but use this with caution as it may hamper with your KB workflow

If you click on the magnifying glass (twice) you will get to a popup that display a list of categories, here you can pick the one that will be the new parent category hence moving your category from one parent to another.

You can also move the category from one Knowledge Base to another by dropping down the "table name" value to Knowledge base.
