Demand support for RFP / RFQ process

Hi

For the demand process, I'm looking for best practice/advice/ideas to handle a RFP / RFQ process from multiple suppliers, before Demand is approved?

Use case is that demand is created, submitted, screened and then in the qualified stage or after I would like to send the demand to various suppliers to have their quote / cost / implementation estimates, before converting the demand to a project, change or enhancement, any ideas is appreciated, not to happy with doing much customisation.

We implemented a similar functionality, what you can do is Once the Demand is at the screening Stage, you can have different levels of Assessment Questions(I mean you can configure different Form Sections with Relevant Questions) on your Demand form and based on the Values selected by the User you can calculate different parameters like Cost, Benefit,Size and the entire Flow can be controlled using some UI Actions before the Demand gets Approved and converted into a Project.

Hi, thanks, not sure, Im following your idea, I'm looking for a sub-process that can be trigger from demand, each sub process is a proposal  from a supplier(s) for the demand, when the proposal comes in the evaluation of proposals starts and a supplier is chosen to implement and the demand becomes a project.

A solution that I have most commonly run across is leveraging demand tasks to gather information such as this? Demand tasks are not currently provided out of the box but you can simply create an extended table from task and utilize these records to help enhance a demand record. It is a simple enhancement that many of our customers are doing today. For example you may have a demand task which is created by the demand manager in the qualified state. This task could be assigned to the supplier directly if they have access to servicenow. Otherwise you could assign the task to a supplier liaison within your business to gather the information and complete the task. At first, to keep it simple, i might do something like add a field on the demand task form for total RFP/RFQ cost and then attach the quote from the supplier to the task before it is completed. When it is all said and done you will have a demand task for each suppliers RFP or RFQ.



Oh and the really cool thing about this is that you can now put SLA's against these tasks to see how long it takes to get proposals and quotes from your supplier. This can make for a nice little report each quarter.

Hi Stig, hi Ben, et al,

 

we are currently faced with the same question on how to request an offer from the internal IT provider and integrate this step into the SPM Demand Management process.

 

The internal IT Provider is also on ServiceNow but currently using a custom solution based on SAP Solution Manager to manage the "IT Offer" creation and approval. 

 

Now that Demand Tasks are OOTB, my first thought also was to use them to integrate with the other tool. 

Did you end up using the Demand Tasks or did you find another solution in the mean time?

 

I was wondering if anyone built a custom "Offer" application. I didn't find such thing in the OOTB system.
