Portfolio / Strategic Planning - planning items

Dear all,

 

we are currently working intensively with the workspace for strategic planning/ portfolio planning.

 

We start using the roadmap in the demand phase of a planning item, prioritizing and defining dependencies between existing projects/epics and the (new) demands.

 

When we now follow the demand process (in the execution part) and convert the demand to a project, we experience the following:

  • the planning item linked to the demand is set to complete, thus it is removed from the roadmap
  • a new planning item linked to the project is created and is added to the list but needs to be set to "prioritized" again to be visible on the roadmap
  • all related information (dependencies) to the original planning item is lost

 

Is there anything we miss currently that needs to be activated, because in this way the roadmap functionality is frustrating the users.

Hello Manuel,

 

Could you please clarify whether the below point is with reference to the dependencies of the planning item_demand (OR) the new planning_item_project which got created from the demand conversion? 

  • all related information (dependencies) to the original planning item is lost

I'm takling about the planning item_demand - as this is set to completed, disappearing from the roadmap and a new planning item_project (or epic) is created and showing in the priorization list.

Hi Manuel,

 

The behavior you are experiencing occurs when the planning item is set to Done or Cancelled.  I believe the assumption is that the planning item has been satisfied or eliminated.  I personally believe, regardless of the Planning State, that all of the planning items should still appear in the list.  I have brought this to ServiceNow's attention.  They have indicated the behavior to keep the list intact can be modified.  I do not have the exact steps, but if you enter a HI ticket, someone will be able to assist.

 

If you go to the planning table and update the Planning State from Done or Cancelled to any of the other 3 available states, the Planning Item will once again appear on the list.

thanks for your reply. In know, that this would be an option, but then it might happen that the same investment appears twice in the list. One time as the demand (that is not completed as a planning item) and one because it is also synced as a project as the planning item doesn't recognize the difference.

 

The ideal solution would be that the planning item stays as-is and just the link to the execution item (demand/project/epic, whatever) changes so that it's still clear whether I'm looking at a project or a demand but I keep the full history. That would allow you to still use a proper demand and project/agile planning process and in parallel have a unified roadmap view over all planning items that follows this process.

 

I hope this clarifies my intention.
