How can I determine the actual usage of the Strategic Portfolio Management Professional subscription purchased in ServiceNow? Which tables should I reference for this data, and what approach should I take to optimize license allocation and reduce over-consumption?

@Singhpushpendra if i understand the question correctly, you would like to know which users are consuming SPM licenses, that is controlled thru the admin function --> Subscription Management (Use real-time data to allocate and track subscriptions to your products.) 

 

During or after going live, admin should allocate the subscriptions based on the groups created/updated (which has any of the SPM roles). your subscription mgmt should show what you have purchased vs what groups you have created / possible allocations and you need to review them to intelligently allocate them. 

 

The User group includes all user accounts in the sys_user table. The Active user group excludes users who haven't logged in to the instance in the last 365 days, users assigned Web service access only, or users with an empty User ID.

 

Good practice: surely others can add more in this list.

 

1) basic rule: not assign roles to users directly , always use groups and might make sense to have a group manager listed out, who is responsible for review and cleanup to reduce/keep license counts in check.

2) sometimes when multiple products are used (ITSM; CSM and SPM for ex), then ensure to allocate subscription accordingly to avoid double counting roles.

3) periodic audit to ensure deactivate people from groups, who does not login(not needed or left the org) for ex. if they are part of an active HR/Azure AD feed, generally most companies follow a process to make users inactive. Inactive users do not count towards subscription.

4) verify that the allocation count shows 0 or more. if you have started just now, it should show 0. if its negative, you might need a support case, since it is an error for sure and we have seen this happening.

5) When the number of allocated subscriptions exceeds the percentage you configured, the value Near capacity appears in the Status column throughout Subscription Management.
