Hi Community,
Can you tell me the best practice on assigning roles to catalog items and record producers?
I cannot find anything in the documentation regarding roles, and it implies that teams should use user criteria and not roles for this function.
Thanks in advance.

Hi @AnthonyMull ,
what are you trying to achieve? If this in relation to who has access and who doesn’t, then you can either utilize user criteria or subscribers based on service offering.
If my answer has helped with your question, please mark my answer as the accepted solution and give a thumbs up.
Best regards

Hi @AnthonyMull,
yes, user criteria is the best option to define who can and who cannot access particular cat items and rec producers.
Also, if you have any "secret" item, you can keep it out of catalog and share just URL and it will be accessible exclussively by those who has it.

Hi @AnthonyMull
we're having User Criteria's of four types,
- Can Read
- Cannot Read
- Can Contribute
- Cannot Contribute
You can Configure this for setting access controls for catalog item,
In the User Criteria itself you've to choose for roles,
There is not any specific roles tab , you've to use only user criteria
if my response helps kindly mark helpful & Accept it as solution:)

Hi @its_SumitNow,
there are user criteria applicable for Knowledge management and for Service Catalog.
You can use the very same user criteria in both KM and SC.
But the Can/not Contribute and Read categories are for Knowledge management (!!!), it defines who can and cannot create or read articles.
For catalog items they can either access or not, so it "Available for" and "Not Available for" and the question is clearly about catalog items and record prodcuers..
