Need Clarification on Inbound Action Form and what happen with the linked email account

Hello Folks, 

So what i have done is i create a record in 'Email Account' and link my gmail with the POP3 , and then i got all the mails i have in my gmail in sys_email .

My question is :

1) All the mail in Gmail gets auto marked as Read , and move form inbox ( where are these mail moved )

2) what are the definationa dn use of the fields showing in the form ( attached png).

3) And did this script run on each insertion on the sys_Email

1. Why are the emails marked as Read and removed from the Inbox? Where do they go?
This depends on how the POP3 email account is configured. With POP3, ServiceNow retrieves emails from the mailbox. Depending on your Gmail POP settings, the emails may be marked as Read, archived, or left in the inbox. Check your Gmail settings under Settings > Forwarding and POP/IMAP > POP Download, where you can configure what Gmail does after messages are retrieved.

2. What are the fields on the Inbound Action form used for?
The Inbound Action form defines when and how an incoming email is processed. Common fields include:

  • Type – Specifies whether the email is New, Reply, or Forward.
  • Target Table – The table on which records will be created or updated.
  • Conditions – Determines when the inbound action should execute.
  • Execution Order – Controls the order if multiple inbound actions match.
  • Script – Contains the server-side logic that creates or updates records.

3. Does the Inbound Action script run for every record inserted into sys_email?
Not necessarily. An Inbound Action is evaluated for each received inbound email, but its script only executes if the email matches the configured Type, Conditions, and other criteria. If no Inbound Action matches, the script is not executed.
