Workplace Reservations AI Agent: AI-Powered Workplace Reservations
Employees today need flexibility and speed when planning their workday, whether it’s finding a desk or booking a meeting room. The Workplace Reservations AI Agent is designed with the employee at the center, making it effortless to reserve spaces through a simple, conversational experience.
The Workplace Reservations AI Agent transforms the reservation process into a frictionless experience for employees. By combining conversational AI with intelligent recommendations, the solution enables quick, intuitive, and personalized access to workspaces. Whether the requirement is a desk for the day, a meeting room with specific amenities, or a parking space, the agent ensures a streamlined and efficient process.
Key value drivers
- Reservations can quickly be completed by using natural language commands like “Find a desk for today” or “Book a meeting room between for the afternoon”
- If a specific request is unavailable, the AI agent provides alternative options.
- Workplace location along with employee preferences are considered to suggest the most relevant spaces, creating a tailored experience for every employee.
- From workspaces to meeting rooms, all reservations can be requested through the same experience.
Setting Up Workplace Reservations AI Agent
To set up the agent, navigate to AI Agent Studio. Once the latest upgrades are installed and Workplace Reservations Management, AI Agents for Workplace Service Delivery, and Now Assist for Workplace Service Delivery apps are updated, the AI Agent will appear on the home screen as “Create a Reservation Agent.”
Selecting the agent opens a detailed view that describes the supported use cases and the scenarios in which the agent can assist.
The Describe and instruct view displays a predefined set of instructions, including the agent’s role, key parameters, and operational steps. These instructions guide the efficient execution of the AI Agent’s tasks.
The Tools and information tab lists the tools and scripts that power the AI Agent, including execution mode, output display, and tool descriptions needed for a seamless employee reservation experience.
Once the agent is set up, it can be tested in Employee Center by selecting the Now Assist icon. Entering a reservation prompt triggers the AI Agent to provide suggested spaces that match the request.
