Employees today need flexibility and speed when planning their workday, whether it’s finding a desk or booking a meeting room. The Workplace Reservations AI Agent is designed with the employee at the center, making it effortless to reserve spaces through a simple, conversational experience.

 

The Workplace Reservations AI Agent transforms the reservation process into a frictionless experience for employees. By combining conversational AI with intelligent recommendations, the solution enables quick, intuitive, and personalized access to workspaces. Whether the requirement is a desk for the day or a meeting room the agent ensures a streamlined and efficient process.

When an employee starts a conversation and requests a space, the agent responds with a personalized suggestion by combining the employee’s input with workplace profile data and in-office preferences.

If the initial suggestion doesn’t meet the employee’s needs, they can request an alternative by replying with their specific requirements.

After completing a reservation, employees can continue the same conversation to make additional bookings for other days or spaces.

After reservations are submitted, the AI Agent provides a confirmation link where employees can review and verify their reservation details.

  • Reservations can quickly be completed by using natural language commands like “Find a desk for today” or “Book a meeting room for the afternoon between 12 and 3pm”

  • If a specific request is unavailable, the AI agent can provide alternative options so that the reservation process can be completed.

  • From workspaces to meeting rooms, all reservations can be requested through the same experience.

When the Employee messages their request, the AI Agent will look for spaces that match the requirements, Once the spaces have been identified, the AI Agent will provide suitable options for the employee to confirm and proceed with the reservation.

When the AI Agent confirms the reservation, the employee can click on "View reservation" to see the confirmation page with all the reservation's details.
