Articles retired by system but the validity has not yet passed

Hi there,

I am seeking your expertise. Recently, we had draft articles created through cases that were retired by the system. Based on this ServiceNow documentation, "The knowledge articles that were retired have a 'Valid To' date that has already passed."

Upon checking the article, the valid date has not yet passed. Please take a look at the screenshots below.

In addition to this, authors of the retired articles and their ownership group members can't view their retired content. The error they're seeing states, "You do not have sufficient privileges to access this knowledge item".

Any guidance would be greatly appreciated!

There is no OOB retiring functionality regarding draft articles as far as I can tell on my PDI. Reason for the authors not being able to see them, is that they are retired, so you need to put them back to draft for them to again view the content.

Do you have any logic in your system that does something with the articles after x amount of time?

I do have to say that it is weird to have knowledge articles in draft state for over a year (created December '22, retired January '24). You could ask yourself how up to date an article is going to be after that amount of time. I wouldn't be surprised if there is some logic applied on this, even though it's not OOB.

Hi Mark, thank you for your reply! We've been cleaning up articles derived from cases that were automatically retired by the system. I raised this to our engineer and we are still investigating this issue.
