Contract versioning and document

Hi all,

 

1) It is possible to manage the versioning of the contract documents leveraging OOB functionalities? If not, how it could be done with the minimum customization?

 

2) Out-of-the-box CSM only manages contract record or it is also possible to create the contract document with both variables (e.g. dates, price) and fix text?

Hi,

Yes, ServiceNow supports both requirements, but the available capabilities depend on whether you are using standard Contract Management or Contract Management Pro.

1) Contract document versioning

  • Contract Management Pro supports document revisions and version comparison.

  • You can upload revised documents and maintain their history.

  • For basic document tracking, attachments with document versioning can also be considered, depending on your setup.

2) Contract document generation

  • Contract Management Pro supports document templates with fixed text and dynamic fields.

  • You can use Word (.docx) templates with placeholders for dates, pricing, customer details and other contract information.

  • ServiceNow populates these fields from contract records when generating the document.

My recommendation is to evaluate Contract Management Pro before building a custom solution, as it provides document generation and revision capabilities with less customization.

Also, check the licensing and plugin requirements for your ServiceNow release.
