Good Morning, I've been digging through wiki but am unable to find info with much detail about my request.
We have thousands of active vendors and they need Insurance coverage. I've built out a "notification system" to let them know when their insurance is "expiring soon" or "expired".
When the notification is received, the vendor is currently having to reply to our vendor inbox which means someone is going to have to save the attachment, upload to ServiceNow and then verify that the document is a valid certificate.
That is just one of the things we need to do for vendors but there is also a huge data clean up effort going at the same time and I am hoping the update can be done by the vendor rather than our employees.
If I were able to give the vendor access to update their vendor profile or contracts with updated information, I could save the entire department, months of manual effort.
Is the best way, to make them a Self Service user and build dynamic gauges for them to see only their stuff? Would I have to create a user for every vendor employee that may need to update information? Is there a best practice for or against having one generic vendor user account (assume so)? Is there any other way to give a vendor access to update anything?
Please let me know if you have ideas or know a proven way that won't cost us a license so we can consider this an option.
If I get this working, there is no turning back and ServiceNow is going to blow up in our organization really fast!

Make them a catalog item where they populate the data for you, ie start date, end date, etc, add their attachment to the catalog item and you use a workflow to do the rest.

Would they need a user account to do this? Assuming so but want to make sure

I like this idea. Any thoughts on how I could display the vendor form (dynamic to vendor only) on a dashboard? I want them to see their current info, then update it where needed using the record producer.
