Hardware Asset Inventory

I would like to conduct a hardware asset inventory using ServiceNow.
This primarily involves taking inventory of the PCs, tablets, and mobile devices used within the company.

 

There is an option called “Inventory > Asset Audit” in the Hardware Assets workspace. Is this the feature I should use to conduct the inventory?

 

Please also let me know if there are any other out-of-the-box (OOTB) features that can be used to perform the inventory.

Hi @Koki Sugimori,

Yes, Inventory → Asset Audit is the appropriate OOTB feature for a physical hardware inventory. It is designed to audit hardware and consumable assets and can be performed by Location or Stockroom.

 

If the requirement is to verify serialized hardware assigned to employees, use Asset Attestation. Employees can confirm their assigned assets through Now Mobile or Employee Center, including for remote/hybrid scenarios.

 

  • Physical inventory by location/stockroom → Asset Audit
  • Employee confirmation of assigned hardware → Asset Attestation

Both are OOTB HAM capabilities, so a custom solution is not required for these basic inventory use cases.

Is it possible within the system for users to self-report the usage status of assets detected during an asset audit?

 

While users can view their own assets through the employee portal, it appears that they cannot verify assets related to an asset audit (as in the situation described above).

Hi @Koki Sugimori,

Not directly through the Asset Audit record. Asset Audit is intended for the physical inventory/reconciliation process, whereas ServiceNow provides Asset Attestation as the OOTB employee self-confirmation process.

With Asset Attestation, employees can confirm whether they are using their assigned serialized hardware through Now Mobile or Employee Center. ServiceNow also creates remediation tasks when an employee reports that they do not have an assigned asset.

So the OOTB distinction is:

  • Asset Audit → verify physical assets during an inventory audit.
  • Asset Attestation → employee confirms whether they have/use the assigned asset.



For your use case, use  Asset Attestation first rather than customizing the Asset Audit itself.

[Asset Audit]
For assets located in a warehouse or other facility, asset managers can use a mobile app to reconcile, compare, and verify discrepancies between the data in ServiceNow and the actual assets on-site.

 

[Asset Attestation]
Through the Employee Center, asset usage status by employees can be verified.
When verifying an asset, the user selects either [Yes] or [No].

 

If [Yes] is selected, the verification date and status are updated on the “Certificate” tab of the asset record.

Is there a mechanism in place that triggers another asset verification a certain number of days after the verification date?

 

If [No] is selected, a remediation task is generated, and the asset manager must re-verify the asset’s usage status.

Are there any established rules regarding how asset managers should handle remediation tasks, or is the approach left to the asset manager’s discretion...?
