COVID-19 has drastically changed the world of work. And as governments implement reopening measures, organizations are planning how to safely bring their employees back to the workplace.

In order to maintain business continuity and productivity, while keeping in mind the safety and health of their workforce, organizations need to carefully plan and execute a return to workplace strategy that’s efficient and keeps their employees engaged. Because ultimately, organizations want to create a workplace environment where employees feel safe, health risks are low, and employees are fully engaged and still driving the business forward.

There are many ways that organizations can leverage ServiceNow to coordinate returning to the workplace. For our HRSD (HR Service Delivery) customers, we’ve introduced a free “Return to Workplace” Employee Experience Pack to help accelerate your implementation of this use case using the out-of-box capabilities you have today.

This pack offers a solutions playbook and content including  prebuilt workflows , targeted communications, and other configured content to help you:

  • Keep your taskforce roganized while planning
  • Automate steps for employees preparing and returning to a safe workplace
  • Engage with employees to inform and listen to feedback
  • Enable self-help through employees' channel of choice

Automate steps for employees preparing and returning to a safe workplace

As organizations plan to bring their employees back to the workplace, many are defining new processes for preparing a safe, employee-ready working environment and for transitioning employees back to working on-site. For many, this is happening in phases and requires coordinating many individuals and departments.

This Employee Experience Pack helps you solve this using two pre-configured lifecycle events: one for workplace readiness and one for workforce readiness.

Workplace Readiness

As organizations plan to reopen a location or work area to employees, the on-site team responsible for getting it ready needs to be guided through the process. An individual responsible for this process, such as a workplace services site lead or a taskforce location leader, may be leading a cross-departmental team to ensure individual work spaces and common areas are ready, systems and connectivity are still working after space modifications, policies and communications are prepared and adapted for any location-specific needs, and final sign-off and approvals happen by all the right people and teams.

The pre-configured Location Readiness lifecycle event included in this pack helps you to:

  • Coordinate on-site team’s training and preparation with a site lead
  • Automate assignment of cross-departmental tasks to HR, IT, Facilities
  • Ensure final checks and approvals are made before reopening

Workforce Readiness

As organizations have locations reopening, some of the workforce will be returning to that location. HR leaders want to understand the preparedness of their workforce to return to the workplace and address individuals’ unique needs. At the same time, they need to guide employees through steps that are relevant for all.

The preconfigured Employee Readiness lifecycle event included in this pack helps you to:

  • Collect individuals’ input & tailor follow-up based on response
  • Guide employees through preparation steps and checklists
  • Ensure site access is ready on day 1, ex: badges and parking passes
  • Remind employees to return borrowed assets to IT
  • Get employee feedback to measure & improve the experience

Engage with employees to inform and listen

As employees return to the workplace, they will be entering into a new kind of working environment and adapting to any modifications the organization has made to its spaces or policies. They need to be informed about what the changes are and engaged at multiple stages of this transition.

This Employee Experience Pack includes a Return to Workplace campaign that helps employees through this process and can be used alongside the Employee Readiness lifecycle event to:

  • Proactively notify employees about returning to the workplace
  • Provide easy access to information on health & safety when and where employees need it
  • Welcome employees back and remind them about details of the new work environment

Alongside the prebuilt lifecycle events and campaign, we’ve provided additional configured artifacts that can be used how you need it. These configurations can be added to workflows included in this pack or other digital experiences you create, all fully configurable to adapt to your organization’s requirements.

  • Employee Readiness Survey (Experience Pack)
  • Visual Task Board to aid the organization’s taskforce in defining the return process
  • Notification emails for a survey invitation and a return to workplace announcement

A Solution Playbook for HR Service Delivery

In addition to the update set, we’ve also provided a Solution Playbook—a document that covers considerations for a Return to Workplace use case within our HRSD product. In this document we:

  • Provide a point of view on capabilities to use when implementing this use case
  • Give recommendations on how to deliver this new digital experience with agility
  • Uncover insights into the return to workplace challenges and opportunities

Our Employee Experience Packs are built fully out of box on top of the HRSD application so that you can modify them and use the parts of it that make sense for your organization.
