Document Templates vs HR Document Template

Hi,

 

I woul like to know the difference between two modules, Document Templates and HR Document Templates which is under HR Administration.

I could configure PDF generation with Document Temlates but I wonder it might be better to use HR Document Templates for HR related document generation.
In my senario, tranfer letter need to be filled by HR agent in some field before employee sign the document

Hi @Kohei Tominaga1 These modules both present the document to the user but there are some differences. HR Document Templates have been around for some time and were focused on HRSD. The Document Templates plugin was introduced in Rome and is a platform feature, but is mainly consumed by HRSD. The main differences are that the new Document Templates allow for entry into the PDF form and save the values. In addition to this we are able to have multiple people filling fields in the form and have multiple reviewers. Lastly, in Document Templates have the ability for a reviewer to mark a field for review and add comments to allow for a smooth document authoring process. The HR Document Templates do not have this same feature. The recommendation would be to leverage the Document Templates that were introduced in Rome versus starting now with HR Document Templates.

@tejak1488299167 Yes, Document Templates are supported in the Configurable HR Agent Workspace for document types of HTML. This is under the assumption you are using the Configurable Workspace and on a recent version of the Agent Workspace for HR Case Management plugin.

We have created the HTML templates as outlined below:

  1. Navigate to All > Document Templates > All Document Templates.
  2. Select New.
  3. Select HTML Document Template.

This works smoothly in the native view— the "Preview Document" button is visible, and clicking on it generates the PDF as expected.

However, we noticed that the same functionality does not seem to work in the HR Agent workspace.

Upon checking the UI Action i.e. Preview Document for the "Document Template," we observed that the "Workspace Form Button" field is unchecked.

Could you kindly confirm if Document Templates are supported in the HR Agent workspace?

@Harish49 Yes, Document Templates are supported in workspace when they are of HTML type. There may be other mitigating factors as to why you do not see the Preview button in the Workspace. Have you verified there is no Application Restricted Caller Access record impacting this functionality? I have seen this to be the case with other customers. This is under the assumption that you are up to date on your Agent Workspace for HR Case Management plugin.

Firstly, Thanks for taking time out and responding.

 

Yes, Agent Workspace plugin is up to date.

Have checked there is no  Restricted Caller Access restrictions.

"HR document Templates" are working in both native/legacy view and Agent workspace view.

Issue is with "Document Templates", we are not able to enable UI action "Preview Document" in Agent Workspace and whereas same is working in native view.

We observed that the "Workspace Form Button" field is unchecked for this UI Actions, which is required to make it available on workspace.

 

Please assist, is there any other configurations missing?

  • HR Document Templates is being deprecated and is no longer available for use. You can use the ServiceNow Document Templates application instead of HR Document Templates.
