DTech Apps' ServiceNow certified application, DocIntegrator, can significantly help in your scenario by allowing you to seamlessly integrate and display content from your existing SharePoint environment directly within ServiceNow microsites, rather than forcing a content migration. This approach respects your organization's "SharePoint heavy" nature and keeps files where they should stay.

Here's how DocIntegrator can assist:

  1. Embedding SharePoint Content Directly into Microsite Pages:

    • DocIntegrator provides the capability to embed SharePoint documents, lists, libraries, and even specific files directly into ServiceNow microsite pages. This can be achieved through various methods, such as:
      • Web Frame Integration: Embedding SharePoint views or specific documents within an <iframe> on the microsite page, with DocIntegrator handling the secure authentication and access.
      • Link Generation: DocIntegrator can dynamically generate secure, direct links to SharePoint content that can be placed within microsite text, buttons, or navigation elements.
      • Data Display: For SharePoint lists, DocIntegrator might offer widgets or components that can fetch and display list data within the microsite, formatted according to your needs.
  2. Contextual Linking Based on Microsite Content:

    • DocIntegrator allows you to establish contextual links between elements within your ServiceNow microsite (e.g., a specific topic, a service catalog item) and relevant content residing in SharePoint. This ensures users find the right information at the right time without needing to search across multiple platforms.
  3. Maintaining SharePoint's Governance and Security:

    • By keeping content in SharePoint, you retain all the existing governance policies, security settings, and permissions you've already established. DocIntegrator respects these permissions, ensuring that users accessing SharePoint content through the microsite only see what they are authorized to view. This avoids the complexities and potential security risks of migrating and managing permissions in a new platform.
  4. Leveraging SharePoint's Features:

    • You can continue to utilize SharePoint's robust features for content management, version control, collaboration, and workflows, without having to replicate this functionality within ServiceNow microsites. DocIntegrator acts as the bridge to these existing capabilities.

How DocIntegrator Addresses Your Criteria for Microsite Use:

  • Current Audience/Criteria Existing: You can use DocIntegrator to embed or link to specific SharePoint content based on the audience targeted by the microsite. For example, a microsite for a specific department can link directly to their relevant SharePoint team site or document library.
  • Language Requirements: If your multilingual content is managed within SharePoint's language features, DocIntegrator can link to the appropriate language versions of documents based on the user's locale (if available in ServiceNow).
  • Taxonomy: You can maintain your existing SharePoint taxonomy. DocIntegrator can help users navigate to relevant SharePoint areas based on the taxonomy structure.
  • Expiration: SharePoint's built-in content lifecycle management and expiration policies will continue to function. DocIntegrator simply provides access to this content.

Benefits of Using DocIntegrator for Microsite Content:

  • Avoids Content Migration: Saves significant time, effort, and potential data loss associated with migrating large volumes of content from SharePoint to ServiceNow.
  • Maintains a Single Source of Truth: Content remains in SharePoint, ensuring consistency and reducing the risk of outdated information in multiple locations.
  • Leverages Existing SharePoint Investment: Maximizes the value of your organization's existing SharePoint infrastructure and expertise.
  • Faster Implementation: Integrating existing SharePoint content into microsites via DocIntegrator is typically faster than a full content migration.
  • Reduced Storage Costs in ServiceNow: Keeps large files and documents in SharePoint, minimizing the storage footprint and associated costs within your ServiceNow instance.

In summary, DTech Apps DocIntegrator allows you to strategically use microsites for a focused user experience in ServiceNow while keeping your content where it belongs – in SharePoint. This provides the best of both worlds: the targeted functionality of microsites and the robust content management capabilities of SharePoint, connected seamlessly.
