Hi Suresh,
Using the Reports > Schedule/Email Feature:
- ServiceNow allows users to schedule and email reports directly from the platform.
- You can access this feature by navigating to the Reports section and selecting the option to schedule or email a report.
Using the Report Scheduler Module:
- The Report Scheduler module provides more advanced options for scheduling reports and setting up recurring email deliveries.
Adding Email Addresses:
- In the "Send to" field, you can specify the email addresses to which the report should be sent.
- While you might want to add a personal email address like Gmail, many organizations restrict this to work emails only.
Security Considerations
Blocking External Domains:
- Most companies have strict policies that block external email domains (such as Gmail, Yahoo, etc.) in their ServiceNow email configurations.
- This is done to prevent sensitive data from being sent outside the organization, ensuring compliance with data security standards.
Checking with ServiceNow Admin:
- Before attempting to send reports to external email addresses, it's crucial to check with your ServiceNow administrator.
- They can provide information on the organization's policies regarding external email domains and whether exceptions can be made.
Steps to Follow
Consult Your ServiceNow Admin:
- Discuss your needs with the ServiceNow admin to understand the email policies and any possible workarounds.
- They may be able to whitelist certain external domains if it aligns with the organization's security protocols.
Use Work Email Addresses:
- If external domains are blocked, use your work email address to receive reports.
- You can then access the reports securely within the organization's network.
Consider Alternative Solutions:
- If emailing to external addresses is not possible, explore other ways to access reports, such as downloading them directly from ServiceNow or using secure file transfer methods Please appreciate my efforts, help “Accept as Solution”; button under my answer. It will motivate me to help others as well.
