How do I update the cost of all assets associated to a hardware model

I have updated the cost field for all of our hardware product models.   How do I update the costs for the assets associated to those models?   The cost in the asset record does not automatically update per the cost in the Product Model.

Hi Larry,



The Cost listed in the Product Model just acts as a baseline cost for new assets. It is not meant to be a central location to update the cost of every asset based on that Model. That would cause potential issues as it would make it very easy to change the cost of all assets based on that Model by mistake.



You can, however, use the Model to help you here. To do so, follow these steps:


  1. Navigate to Asset > Portfolio > Hardware Assets.
  2. Apply a filter to only show assets based on the model you want. There are several ways you can do this.
    1. Right-click the Model you want in the list and select Show Matching. To use this option, you need to display the Model column in your list, which is not there by default. Note: if you add the Model field, you may as well remove the Display name from the list. It would just be a duplicate of information you are already displaying in the list.
    2. Expand the filter builder and enter your search criteria.
    3. Use the go to search at the top of the list. This will only work
    4. Expand the column search and use that.
  3. If you have any assets for which you do not want to change the Cost, right-click the Asset tag in the list and select Filter Out.
  4. Click any column header menu (or right-click a column header) and select Update All.
  5. A verification popup lets you know how many records you will update and confirms that you want to make this change.
  6. Set the Cost.
  7. Click Update.


Use this with caution, as you can do a lot of damage if you update the wrong records.

Thanks for correcting my understanding for how the costing works.   I tried the recommended process and it yielded no return as the costs were not updated.   I suspect that this is due to the cost field being a reference field.

Interesting. I've updated plenty of other things that way, but never tried something like Cost. It is a different beast because it needs to deal with currency. Here's a method that did work for me, though. It is not pretty. Use the Easy Import functionality. Unfortunately this requires the admin role, so you may need to enlist your System Administrator:


  1. Get the list of assets you want to update.
  2. Click the form header menu and select Import.
  3. Choose Update and build a template.
  4. Download the XLS and make the updates.
  5. Then upload the updated XLS.

Note: you can delete the columns you do not want to import, but leave the Sys ID as it is used to match up the records.
