Digitally transforming legal operations​ for the workflows that matter​ 

 

The need to do things faster is impacting every aspect of the enterprise, from how products are developed, sold, and marketed to employee and customer service experiences - with legal operations helping drive many of these initiatives along the way. 

In the Rome release, we’re improving legal operations efficiencies by extending the out-of-box workflows to help legal operations leverage the productivity tools they are accustomed to while also streamlining key processing steps. We’re introducing integrations with Microsoft OneDrive and Google Drive to extend legal artifact storage and collaboration. Our legal request catalog and portal will be enabled from the new Employee Center to help provide a more consistent portal experience across the enterprise. And finally, we’re extending approval options with a flexible ad-hoc approval feature for those reviews and approvals that come up during a legal review. 

There were three core challenges we set out to address with the Rome release of Legal Service Delivery.  

  • First, we heard from our customers that there needed more options to link their contracts from popular cloud document storage tools including OneDrive and Google Drive. 
  • Second, many requests coming into legal were coming from other departments in different formats and systems. They wanted to standardize the request experience.  
  • Third, they wanted more flexibility in the approval process. Especially for those that may have not been anticipated, but still need review before proceeding further.

Legal operations teams, including lawyers and paralegals, spend a great deal of time each day creating or editing contracts by request of the business. These documents are spread across various local drives, email, and network repositories. 

With the Rome release, we’re extending the contract storage options to include Microsoft OneDrive and Google Drive, extending the available Box integration with Legal Service Delivery by associating a secure contract location to a given request. This allows legal ops teams to create, update, collaborate, and publish contracts with easy lookup access from Legal Service Delivery. 

These new cloud document storage options are available as part of the core  

Legal Service Delivery license. Licenses for Microsoft OneDrive and Google Drive are sold separately. 

 

Unified Employee Center 

Enterprise organizations are seeing the benefits of providing a common self-service experience for employees across all departments. To deliver on this promise, enterprises look to a common shared-service delivery platform powered by a unified employee portal. 

The Rome release includes a new Employee Center that provides a unified portal where employees can find information, ask questions, and get help without ever needing to know who delivers that service to them. Our IT, HR, workplace, and legal service offerings will be readily available from this new Employee Center providing a one-stop shop for employee services.

Existing Legal Service Delivery customers can easily transition to this common portal as part of their Rome release upgrade.   

 

Ad-Hoc Approvals 

Many legal processes are burdened by unplanned approval requests. It may be as simple as requesting a second set of eyes to review a contract, reaching out to a department manager for employee validation, or an artifact review from a different practice area. However, in most cases these ad-hoc approvals happen in email and thus lose their context and tracking back to the originating legal request. In addition, adding pre-defined approval steps to a workflow can be onerous, and in many cases not required. 

 

The new ad-hoc approver capability in Legal Service Delivery allows legal teams to assign one-off approvals while staying in context of the originating legal request. This new capability provides a complete tracking and audit trail through the closure of the request.
