Every process has an ideal path — the sequence of steps designed to move work from start to finish efficiently, compliantly, and on time. But in practice, records deviate. What Is Non-conformance?
Non-conformance occurs when records don't follow the set ideal process and deviate from the expected path. It shows up in three common ways: mandatory steps are skipped entirely, activities occur out of their expected sequence, or individual steps take far longer than expected — leading to SLA breaches and downstream delays.
The stakes are real. In regulated industries, non-compliance with prescribed workflows can trigger audit findings, financial penalties, or reputational damage. Even outside formal regulatory contexts, non-conforming processes drive rework, erode customer trust, and inflate operational costs.
Detect It Automatically with Rule-Based Patterns
Rather than relying on manual audits or anecdotal reports, Process Mining lets you define rule-based improvement opportunity patterns that automatically flag non-conforming records every time a project refreshes. In the Process Configuration for your table — say, Customer Order — you navigate to the Improvement Opportunities section and create a rule under the "Rule-based" tab. You name the pattern (for example, "Non-conformance: Skipped a step(s)"), assign it to the Conformance category, and the system does the rest.
Once configured, the Opportunity Details view surfaces exactly how many records match your pattern, along with the average inefficiency duration, total accumulated time lost, and impacted KPIs.
Prevent It with One-Click Playbooks
Detection is only half the story. The real power of ServiceNow's approach is the ability to move directly from insight to action on the same platform. From the Analyst Workbench, you can select a conforming variant — the ideal process path — and generate a Playbook in a single click using Now Assist.
That playbook becomes a living, enforceable workflow. When an agent opens an order record in the Order Management Workspace, the playbook guides them step-by-step: review order details via a checklist task, seek manager approval when required, mark the order as scheduled, and finally complete it. Every required step is embedded in the flow of work, making it structurally difficult to skip or reorder activities.
Think Beyond the Obvious
While order management is a natural starting point, the same non-conformance detection and playbook generation capabilities apply to any process you mine on the platform. Consider extending this approach to Integrated Risk Management data — mining Issues and Remediation Tasks to ensure your risk and compliance processes follow prescribed workflows just as rigorously.
