This is currently not on the short term roadmap, but we encourage using the Idea Portal for an enhancement reqeust. Additionally, you could use the SSO integration to track user subscriptions if you are SSO connected. |

I have a situation where there a “custom” company organization structure that does not fit into department, company, or cost center (it is additional) that the company does consumption rules against. It does not direct align to any of these structures either. How do we handle consumption rules in this scenario? Unlike user criteria, there isn’t a scripted option. This is a major blocker and I’ve been sent here by your team to get an answer. |
Kristen - thank you for your question/feedback. What is this structure? Is it possible to do a parent/child relationship in either the Departement or Cost Center tables? As mentioned we do not have a custom table option for the consumption rule. I do encourage adding an Idea Portal enhancement request if possible. |

What exactly does the published status on the same workspace under license usage mean? So we actually have a video about it. So there's a feature in Sam that allows you to publish products. And what it's meant to do is really help you when it comes to doing a phase approach to software asset management. So what you can do under license operations, there's a Sam implementation section where you can actually choose the products that you want to publish. And what that'll do is it'll quiet the workspace to only display those products that you have quote UN quote published. So that way you can only focus on, the products that you're actively managing. And you can see the IT cost management stuff for only your published products in, in the overview page. So that's what that publishes for. And I believe we have a video around published products. Yep. And there's a setting to turn that on in the in the Sam settings area, in the admin settings area. I highly recommend people that threw a bunch of data in there at, via like their whole Microsoft setup or this to do that reset and see how it can be that way. You can graduate through products individually. It's a really improved approach for how to, how to do that so that if you loaded a bunch of stuff at some point and it's not all complete or whatever, that's a, it's a new way to focus yourself. How does the software entitlement tab of the user record get populated, right? So this is, this is where we're talking about we have a allocation, right? If, if we've allocated a software entitlement to a user, then that entitlement will be assigned to that user record. Yeah, same thing with subscriptions as well too. I'm seeing subscriptions there out-of-the-box for sure. All right. Akash is busy answering all the questions in the chat, so already in text. So that's cut. That's cautious demand. Yeah, put. Eric, looks like you want to answer your question. Would you like to do that now or we can come back to you? If I can find the mute button, I'll go ahead and answer that now. Yeah, sure. The question is, why does Sam Pro reconcile installs that are on a device that have not been discovered in the last 6090 days? Looking at ServiceNow licensing for same Pro devices that haven't been discovered in the last 90 days aren't counting towards the same Pro license. Is there a way to enable something like this within the same Pro? I'm going to warn you and say no, you should not do that, right? Because it's been my experience that you could have computers that are deployed out there that somebody has stuffed in a closet, they've stuffed in a desk, they haven't been on network and we haven't seen them for a period of time. But you're still obligated for those licenses on those devices until they have been properly dispositioned disposition, meaning that they've come back in, they're back in stock and available or they're getting prepped for disposal. |

Look into SCIM for SaaS integration. SCIM support for user provisioning; REST API available |
integration and actually probably a couple of the other SAS integrations that have that setting where you can only go back 60 days. And so they were trying to wonder how to go back even further. I don't believe again, I could be wrong. So somebody else can shine in here, but I don't believe we can set change that setting to any further back than 60s days usage data. And the question is also revolving around reclamation day, right? So reclamation candidates, so reclamation candidates not going to get generated until we have all that data in there to be able to say it's been over 60 days. So I'm trying to figure out like basically you still just like with on premise installations, you need to let some of the usage data accumulate for some of these ones that have the like the 60 day limitation to them. So I would say, as a continually brings in data from 60 days past 60 days past, 60 days past. So continue to build up those dates in the in the subscription table and you'll be able to start seeing some of those reclamation candidates get generated over time. I think that might answer the question. And again, some of them, it all depends on the on the publisher, right? That's the hard question. Hard thing to really answer is each publishers a little bit different on what data they have as well too. So my guess is when they developed again, there's a guess when they developed those integrations, right? There's probably some limitation on what they can actually pull from those publishers specifically. I could be wrong though, but that's a lot of times what it could be. Probably added more confusion, more questions, but no, I see it anyway. Yeah, no, it, and I'm going to piggyback off of that because I've noticed a couple other questions related to SAS. What does the roadmap look like for tying Software Models to Business applications |
tying software models, business applications. Yep. So as a former enterprise architect myself, even though I am now your Sam guru, I also can stub for the EA folks. So that's something that is already solved. This is again time to tie software models to the business applications. That's already solved for completely in the enterprise architecture solution, right previously called APM. And it is the, IT is the Nirvana of the enterprise architect because they establish their capabilities. It is a model, they tie those to strategy way up in the organization. Then they sort out which applications, business applications or systems. I'm going to use those really loosely because it's a religious word. I don't care, right? And those all line up, right? So those support capabilities. And then those are running on hardware and software either in the cloud, right? And so the models that are there for either the hardware or the software all defined. And this there is a report like there is a job that builds this to what I'm gonna call linearize it for you and connect all the things, right? And that report is available the table. I'll put the table in the chat. It's called Servicenow_APM_TPM_discovered_technology THAT HAS everything from the life cycle dates to the business applications to the service underneath as well as a, software product the server and the, relevant life cycles that are there and then from there. You can pivot down to how many installs there are and everything so that is the. Nirvana of the risk down here from a life cycle perspective right now the report. That you, see in EA is focused on STUFF that's passed into life but if you'd knock. That filter off you could just see, it all which is also possible, so hopefully that answers. |

So free text, feel free to, we're not necessarily looking for long answers at this point, but like what are the three things that you can think of that you find impactful and helpful? And the next question I'll ask is what are the three areas of improvement that you suggest? Similar theme here. We're totally recognize that there's a lot more layers underneath some of these things, but we're just trying to get a high level idea from the most important voice, which is you all. So I will do my best to keep this short because the purpose of these calls is for you to ask us questions. So I recognize this is a bit atypical, but I do think we might get some interesting feedback from you all. So therefore, let me go ahead and launch the first one. There is an OOTB view for contracts within 90 days of expiration. Beyond thatyou can use the platform notifications table [sysevent_email_action] to amke additional alerts as needed for any conditional situation (like contracts expiring in say 2 weeks). |

So the question is, will there be an ASN type capability for software entitlement creation like exists on the hardware side? And yes, there already is actually that is the entitlement import. So if you go to the license operations in the workspace, you will see entitlement import where you get the ability to download your template, populate the template with preferably the invoice you've received from your publisher with like your publisher part numbers and everything and all that data. And then you can do that import there, which will create the entitlements for you. So definitely look up entitlement import in the docs page. I don't have that link handy, but yes, it already exists. Fantastic. Thank you. Sean, looks like we have a question here around ACC. So they just set up ACC for software metering and they want to understand what the next steps would be. So yeah, once we have a discovery source that works with metering, then the first thing that we're going to want to do is create reclamation rules, right? That's where we're going to identify the products that we want to have metered. That's where we're going to set the thresholds for those products. And once we've set those thresholds, then ACC, it's going to identify software installs that meet those thresholds and feed them to the SEM software usage table, right. And from there, we're going to get reclamation candidates that are generated. Those reclamation candidates are going to create a pool of what's called potential savings. So these are just reclamation candidates that you haven't acted on yet. Once you act on those reclamation candidates and, and remove them and put them back into the entitlement pool, those potential savings then become actual savings that you can just monitor in the workspace. So it's, it's very difficult to give a high level of how reconciliation works because there isn't one path for all software. Truly depends on your license metric, right? And from and from your license metric. That's going to drive the logic that reconciliation is going to use to get your compliance position. If I rolled it up a little bit though, like at the highest level, right? It's two sides of the coin. We got usage, which will either be subscriptions or installs with all the dependencies underneath in case the metric is based on cores or something like that. And on the other side, we have the entitlements that tells you what you bought, what the quantity is and what the metric is. And what reconciliation is doing is it's a job that runs typically weekly but can be daily like whatever you set it at. And it's just doing that math. It's taking you bought 20, you used 30 or you bought 50, you used 10. And it's doing that math and giving you the results. And then it can give you dollar figures based on how that baked out, based on the fact that you've either overbought or underbought. And then what the either true up would be or what the like potential cost recovery is. And that's what the math is. Now there's a lot of particulars around that because each metric is got all sorts of stuff. And honestly, that's why you buy Sam Pro is for all that, right? All that detail is baked in. All the metrics are baked in all the how to calculate the metrics, how to optimize against specific metrics, right? And there's a ton of nuance. Understand that all the metrics really matter. And when you put in your entitlements, that is a very key part because that tells reconciliation how to count. Not everything is users. Not everything is just devices. Those are the simpler ones that you see on end user compute most of the time, but not for everything. So that's my roll up of Ben's very good answer. Yeah. I have completed the Zoom SaaS integration which was successful. When setting up the integration, the direct integration the "analyze user activity from" field only allows you to go back 60 days. Reading through the integration documentation it mentioned the reclamation rules can be updated. When I update the rules to exceed 60 days, nothing changes on the integration side (still unable to set activity date longer than 60 days). Is there a way to get the integration to look further out than 60 days on user usage data? |
not designed to give you the same level of granular information as say a direct integration that's not what it's intended for. But it is intended to give you a broad swath of information to help you focus what to work on next. Now recognizing that with the increasing proliferation of SAS products, how can we expand upon that? I'm going to put in the chat the link to the upcoming road map session. I don't want to spend too much time on that. I want to stay focused on here Now, what can I do now with the product? But I think it is applicable to mention here that's something we're looking at and we recognize that, with this increasing proliferation of SAS products there needs to be a new experience tied to that. So as I mentioned, there are some third party considerations that we can't directly control, but that doesn't mean we can't look at other technologies to perhaps help with that. We're engaging on that internally also with our internal software asset management team. So for now, take a look at what's readily available, see if SSO integration can help you prioritize what to look at and maybe uncover some new findings. And then feel free to join that road map in a couple weeks where we'll talk about some of that stuff more. I'm going to put the link to the road map in the chat as well as the link to, it's basically a one stop shop for all your SAS licensing availability that's available now. So I'll pause there. On the Installs requiring action page, what is the best way of identifying that an install is still 'live'? |
And it's basically about how do we make sure our installations are still quote UN quote live or how do we make sure that software removals have been done etcetera. And so the reason I wanted to get Band to chime in here is also because that's something we do as Rangers. When we get engaged with customers, we do go in and we do a software asset management review. I think there's even a couple customers on these calls that we've actually done reviews for. And when we do that, we actually spend quite a bit of time diving deep into that software installation directory because the software installation directory is the start of that whole Sam process, right? it's part of that trustworthy data and it's really key part to make sure that is being maintained and updated. So one of the things that is there by default is there is a scheduled job and there's a business rule set up so that if ACI, their install status or hardware status equals retired, lost or stolen, then that business rule will purge the software installation. So that's one way software installs get removed from the installation directory. Another way is depending on your discovery source. So I know SCCM does it, I am pretty sure Intune does it, and I'm pretty sure Discovery does it is when a software gets uninstalled from a device and then that device is rediscovered, there is a remove component of that integration with the discovery source that will remove that software installation. So what we do when we analyse this is we look at things like that. So I will go into a customers instance and I will take a look at, for example, the last scan date, right? So the software installation record will have a last scan date, |

So one was specific around, should we be ignoring scans that are greater than 60 days? And I would say no, just like we answered that before, right? Because you cannot guarantee that device is actually gone, right? That comes down to chasing. And fortunately, it comes down to chasing people and working with those discovery teams to say, why has this CI not been discovered in 60 days and still has a status of installed right? And chase it that way rather than ignoring a scan work on trying to get the CI state corrected to what it actually should be. Yeah. And I think this is a perfect example. we, we always talk about, I know a lot of asset managers have issues with communicating value right for an ITAM program. I think this is a perfect example of how your asset management program can help maintain clean data in the organization. When we are able to bubble up and show, hey, we have an issue with data coming in where this CI hasn't been seen for 60 days and we have reporting around it that can show these risk markers. I think it's perfect opportunity for Sam to do that to work with the seem to be teams and start a process of validating the CI data. And then the other one was why does file path notch always show up on this for install location? And that's going to be dependent on your discovery source and how it's triggering. And I believe most of them are doing like a WMI query, which is basically reading the registry looking for that file path, unless you're doing some file based discovery. So if it does, the data doesn't exist in the registry, it's not going to be there for a lot of them. Again, that's a generic answer. |

So if it does, the data doesn't exist in the registry, it's not going to be there for a lot of them. Again, that's a generic answer. It depends on your discovery source so. But a lot of them are using AWMI query and just querying the registry. OK, I think that answers most of the questions that I've read. Anyway, there's a lot of questions here regarding software installation. So yeah, I would again recommend doing a periodic audit of your software install table, right, looking for those invalid discovery sources, old last scan dates or incomplete last scan dates or run some custom reports for, installed on old dates. I would also really focus, I really like the new report on the dashboard or sorry on the software Asset Analytics dashboard on our normalization and content. There's the software installs normalization status. That's a really nice one as well to make sure that all of your software installs are related to a normalized discovery model. It's a great report as well. And then did we want to cover folks who've migrated from the legacy SCCM plug insurance to SESCCM? Yeah, I'm seeing less of that, but yeah, I'm seeing less of it as well. How long does it take to add custom PPNs and custom products get added in content library? |
So how long does it take to add custom PP NS or custom products to get to the content library? I actually don't know. I was hoping Resna would still be on here. I do know that, so basically if you opt into the content services, right, any of your custom PPNS or custom products will get uploaded to the content team. I know that probably takes a lower priority. It's still being looked at on a regular basis, but it's so a lot of times people putting in requests for content library updates generally I think have a higher priority. So I think it's iffy. I think it's probably four to six weeks is my guess. I think that's a safe answer for stuff that's getting automatically uploaded from the content services. So yeah, that's correct, Sir. I think we're still here. I'm here in general, if there's some urgency to the request, usually we recommend you to file content requests because then if the content team needs to ask for better, more information qualification, it's easier for them to reach out, right? As opposed to just relying on them picking it up from the opt in data, right? They don't even know who the data is coming from, right? So it's usually best to engage directly through content request process and Rezno, just we've got so many people on and so many people on for in different stages of your their journey. When you say content request, what is that exactly? How do you do that? So content request, it's a catalog item on the service, not support portal, right? And if you search for catalog and then just type in content request, it shows up as I believe it's asset management content requests, right? So if you click on it shows you the form. |

Can a child in patch software type show the software that they're related to? Yeah. So there's a feature in the workspace parent child relationship, which is meant to, hey, if you have components of a parent software product and you want to use their life cycle data, you can create that relationship to say that this component belongs to this software product so they can get get that information. So yes, we do have it. It's in the same workspace and there was a question posed of how do I view the relationships between all software pieces of software, the models, product discovery maps and discovery models. And I put the Sampro data model graphic in the chat. If you want to take a look at that, it's a great way to take a look at it and see the tables that are associated with those relationships. There's a lot on open questions or unanswered questions and that's good and bad. So sorry we didn't get to the mall folks, but I think we are out of time. I did go ahead. I know I previously posted the wrong road map link. I just reposted that now in community. Again, I encourage you because I know that just with the amount of things that get posted into the chat here, something I posted a minute ago was already way up the scroll. However, if a finding is not resolved within a week, a new finding is created for the same record during the next scan. What you can do is look at your contractual terms and conditions and get an understanding of what rights you're enabled to with that product. So for example, if you're working with Oracle Database and that per your contract that so long as you're paying support for Oracle Database, you have rights to upgraded versions so long as you are up to date on your support for Oracle Database Enterprise. That would allow you to set up essentially your software entitlements and software models to account for that. So that's just a simple answer of what the publisher part number does for you. It automatically configures that. Whereas if in the absence of that, by no means rocket science, it's something that can be easily configured, but it's just something that then you have to configure in the tool. Hey, Bradford, one thing other one other thing I'll add is before you go to all that trouble to go make sure that you've got the latest content library. Yeah. So in the within the workspaces, there's a tab for normalization and content. Go look, it might be that you're due for an update tomorrow, right. So wait on that update to happen and then do the troubleshooting. So the way it used to happen to me all the time was, hey, I needed it. I looked, I just got an update and it's going to be another update in 3 or 4 days. So just make sure that you've got the latest content update. Yeah, could call out on that error. Yeah, that's another low hanging, fruit potential solution there. Just make sure you have the latest and greatest content, which by the way on the Zurich release that'll now be by default updated twice a week. You can configure that yourself in the tool, but now going forward out-of-the-box be updated twice a week. So we're looking forward to that getting close to time here. I joined little late, something important I missed? |
I have seen that failing a lot of times, failing to update a lot of times lately. So that's something as a software asset manager, I don't necessarily want to just trust that data value because I'm not positive it's being updated. Not on Ben. You can chime in on that too. But I've seen that inconsistent very, a lot lately, the last scan date and a lot of it has to do with the discovery source being an Intune or SCCM just not updating that field. Yeah, that's true. Yeah. So the other thing I personally look at when I'm looking at installs is I take a look at, I'll do a custom report and I will take a look at the software installations where the installed on or the CI's most recent discovery date is greater than 30 days, right, Because that's something I can look at too. And I'm then I can start to question why has this not been discovered? And I can go to my discovery teams and say why is this not been discovered? Or I take a look at the software installations by the CIS install status or hardware status, right? And sometimes I see a lot of discrepancies there where say the install status as installed and the hardware status says retired. So which one is it right or says some other it says in stock, etcetera. So we got some mismatches there. So those are some ways I take a look at the software installation directory to try and determine whether or not the software installation record is still quote UN quote live. It still involves having to actually work with your discovery teams, right, and get some answers from them or and work with, potentially the end user compute teams or whatever those teams to make sure they're continually managing the States and sub states of those assets or CIS so that they get removed on a regular basis. There are some discovery sources as well that do not purge software installation. So good way to see that is if I'm looking at, for example, |

I think it was answered that custom PPN’s are automatically submitted if you “opted-in” to Content Service. If there’s urgency to have it added, please submit a Content Request (follow this process: https://support.servicenow.com/kb?id=kb_article_view&sysparm_article=KB0790305). Understood the ask abput a button to submit directly from the product, this is already on the radar, but we need to explore further before putting it in the roadmap. |
