I need to grant read-only access to 3 people, to an application we have built based on the Incident table. These 3 users have access to submit an incident via the service portal, but do not have any fulfiller roles, either for this application, nor for any other application; they currently do not have any roles assigned to them whatsoever.
If I create a custom read_only role (e.g. prn_read_only), assign that to a new group (e.g. prn_read_only_users), and add the 3 users to that group; then create an acl rule on the table in question (e.g. the table could be named u_prn_incident) to allow read access to the new custom role (prn_read_only) , here is my question: does that role consume 3 licenses (due to the fact we have it assigned to a group containing 3 people who have no other roles)?

I think any custom roles will be counted towards license . Please check with your servicenow sales contact to find out .

According to my contact, you are correct. Not the answer I had hoped for, but there may be ways to provide reader access that do not involve adding a role; I may be exploring those options -- or we may just bite the bullet on the 3 licenses.

I would strongly recommend you to please check with your servicenow sales contact as it differns from contract to contract
