Task assignments without a license

The licensing structure on our ServiceNow account has is as follows:

* We are charged for all users who have any role besides the "user" role.

* If a user has any role aside from the "user" role such as "itil" or anything else then that user is counted towards our license total

We are attempting to migrate another team onto ServiceNow. There are about 10 people on their team.

However, their workflow involves many other users in other groups who are not in ServiceNow.

They want to know if they can assign *tasks* to users who do NOT have the "itil" or any other role (besides the "user" role).

Those users will need to be able to have tasks assigned to them and be able to comment and add work notes and resolve these tasks.

Is this possible? They basically want to avoid the extra license charges for the extra people who they need to assign tasks.

I recommend you consult your ServiceNow account rep on this.



That being said, the basic licensing model of ServiceNow is around "fulfillers". If these people are assigned tasks, they are considered fulfillers and require a license. If they are using an application outside the ITSM space (for example, managing vehicle maintenance instead of data centers) and you write a customer application, they don't pay the ITSM licensing price because they are using the IT applications (even if the custom app extends task.) You can use a Platform Runtime license at a much lower cost.



Again, your account rep will have more information, work with them on the best solution.
