Users not available in assignment lookup

Hi, I wonder if I am doing something wrong when allocating resources to a project.  This is what I am doing:

I had users assigned ppm_resource roles, and then imported project from MS Project.

For the tasks that had users assigned in MS Project, resources were assigned.

However, when I try to manually add users to tasks, I cannot assign them (they are not available in the assignment lookup either).  What could be the issue?

I have run a report to verify the user roles and the users are assigned pps_resource roles.  I have pps_admin, resource/project/portfolio/program_manager roles, so it should not be an issue with privileges too.

Any help would be great as I could not find anything in the documentation or forum regarding this issue.

cheers

Ashu

Hi Ankur,

As I had mentioned in the post, I was seeking a solution to find this information using a non-admin user.  The issue was with the privileges assigned to the users.  It seems that the users need to be assigned the following roles in order to be used for project planning and assignment:

  • pps_resource
  • project_user
  • itil

A user admin role is sufficient to assign these roles and does not require full admin rights.

Hi,

For your to be able to assign a resource to a task/ project task. You need to request an allocation for that user first by creating a resource plan then once the resource plan is approved, the resource will now have been allocated for a duration that you have requested in the resource plan. That is when you can assign the resource.

Hope it helps

Hi Mark,

A resource plan is required only if you have specified in the project (a checkbox in the project details) to allocate resources from the project plan.  Otherwise, resources can be assigned without using a resource plan (although that is not a good practice)

Hi Mark,

From the information that I have been able to get from ServiceNow, a user is available for assignment once they have the following roles.

  • pps_resource
  • project_user
  • itil

Resource allocation to a project/task is not required, unless you have the "Derive Assignee list from Resource Plan" option checked.  Otherwise, all resources with the above roles are available for task assignment.
