The modern workplace demands meaningful coordination more than ever. Employees need visibility into when their team is actually in the office, they need to find spaces suited for their work, and they need flexibility that adjusts to their plans.
Yet today, managing these logistics manually takes hours away from what actually matters: doing meaningful work. With Move works and Workplace Service Delivery, these friction points disappear. Employees show up into the workplace with intention. Teams coordinate seamlessly, and collaboration becomes effortless.
Introducing Workplace Service Delivery (WSD) in Moveworks
This investment brings reservation management, presence visibility, and workplace orchestration into one conversational experience for employees via five key capabilities:
1. Set Presence Status & Establish Presence Routine
The journey starts with presence. Employees define how they work: in-office patterns, remote days, collaborative windows. Instead of navigating settings or sending emails, they simply tell the assistant: "I'm in the office Monday, Wednesday, Friday." That presence becomes baseline data.
- Employees define their office pattern, and it syncs across scheduling, facilities planning, and team coordination.
- This eliminates double-bookings by ensuring teams know when colleagues are available for in-person collaboration.
- Facilities teams gain real occupancy data instead of forecasts, enabling better space planning decisions.
2. Access Presence Data
Employees can now ask a simple question like "Who from my team is in on Thursday?" and the assistant surfaces real-time presence for the people they work with most. Managers can see which days have the highest team occupancy, and collaborators know when in-person work actually makes sense.
This is where coordination is streamlined. Hybrid teams now schedule in-person collaboration when it matters and when the right colleagues are actually there.
- Employees see which team members are in the office, which floors they're on, and when the full team will be together next.
- Hybrid teams schedule in-person collaboration strategically while facilities teams gain accurate occupancy data, enabling better space optimization and resource allocation.
3. Suggest Spaces
When an employee needs a space, they start a conversation with the Moveworks Assistant to describe what they need. The Assistant takes care of the details: space type, proximity to colleagues, and availability.
- The Moveworks Assistant understands the intent of the conversation, recognizing whether an employee needs a workspace for focused work, a meeting room for collaboration, or another space type entirely.
- Recommendations are tailored to the employee's workplace location, suggesting spaces only from their assigned campus or building unless they request otherwise.
- The conversation adapts as plans change. If a suggested space doesn't work or an employee needs to shift dates, the Moveworks Assistant continues the conversation and surfaces new recommendations without losing context.
4. Reserve Space
With the right space identified, booking becomes frictionless.
"Book it." One message creates the reservation without the need for portals navigation. No email back-and-forth. No coordination overhead.
- Request a space based on your actual need: "I need a quiet room for 6 people near the Engineering Neighborhood" returns the right recommendation.
- Moveworks Assistant checks real-time availability, understands team location, and ranks options by relevance to user preferences.
5. Update & Cancel Reservation
Plans change, Meetings run long, Bookings are no longer needed. Instead of canceling and rebooking, losing the original slot, and contacting facilities, employees simply adapt: "Move my afternoon reservation to the large room on floor 3, extend to 5pm." Flexibility is built in.
- Modify reservations in one message without portal navigation or manual workflows
- Move meetings and change room setup conversationally
- Spaces that could sit empty become visible to other employees who might need them
A unified workplace experience
One interface where workplace coordination is seamless, no context-switching, no fragmented tools, and no friction. Employees get intelligent recommendations, visibility into colleague availability, and instant space reservations, all through conversation.
The result is a workplace that works for employees, not against them. Time spent on logistics transforms into time spent on meaningful work. Decision-making becomes faster and smarter. Collaboration happens more intentionally. Employees are empowered to work how they work best—whether in-office, hybrid, or remote.
