Is First Come First Serve the Only Option for a Reservation

Can you configure the reservation options to something other than first come first serve out of the box? For example, can you prioritize by seniority, role, or some other user criteria? Could you also prioritize based on last visit to office? For example a staff member has not been in the office for several weeks. Not sure what all types of reservation options exist within WSD.

Hi @Howard Pope,
First Come, First Serve (FCFS) is the default. If no rules or approval workflows are in place, the system assigns spaces on a first-available basis. The following is what you can do.
Approval-Based Reservations
Admins can configure approval workflows where certain reservations require manager or admin approval before being confirmed.
Useful for high-demand or restricted spaces.
Priority-Based Assignments
- Organizations can define priority levels for different user groups (e.g., executives, senior staff, or teams).
- Users with higher priority may have earlier access to reservations.
- Recurring Reservations
- Users can schedule recurring reservations for weekly meetings or long-term desk use.
- Helps prevent daily competition for the same space.
- Restricted or Role-Based Reservations
- Spaces can be reserved only by specific departments, roles, or individuals.
- For example, some areas may be exclusive to IT or executives.
- Auto-Release for No-Shows
- If a user does not check in within a set time, the reservation is canceled, and the space is available for others.
- Reduces unused reservations.
- Waitlist & Overbooking Management
- Some configurations allow waitlisting users so that if a space is freed up, the next in line gets it.
- Overbooking rules ensure that rooms are not double-booked.
To implement any of the above, navigate to Workplace Reservation Management > Administration to configure Reservation Policies with:
- Approval workflows
- Role-based access
- Priority scheduling
- Auto-release settings
If needed, modify OOTB Business Rules & Workflows for custom assignment processes.

Thank you for your insightful comment I’ve read it and found it very helpful.
There’s one point in particular I’d love to understand better. You mentioned in point n. 6 that certain configurations are required to manage waitlisting users. I’m currently facing a business need to implement this functionality but haven’t been able to identify an effective solution so far.
Could you please elaborate on what these configurations entail and how they can be set up?
