What's new: A dedicated admin interface in Workplace Central for managing spaces, neighborhoods, and user assignments — available in the Q1 2026 release. 

Who it's for: Workplace managers responsible for space allocation, team co-location, and user assignment workflows. 

Setup required: Update to the latest versions of Workplace Core and Workplace Central. Workplace Indoor Mapping and Indoor Mapping are needed for the map visualization. No additional plugins are required for the base experience. 

 

A Purpose-Built Experience for Workplace Managers 

Until now, Workplace Managers had no dedicated admin experience within ServiceNow. Managing spaces, neighborhoods, and user assignments meant navigating separate platform tables, multiple clicks, no visual context, and no efficient way to bulk-edit. The new Workplace Admin Experience changes that entirely. 

 

The Q1 2026 release introduces a unified admin experience scoped to the Workplace Manager persona, someone who needs to assign users to locations or neighborhoods, visualize team co-location, and manage neighboirhoods efficiently while keeping collaboration needs in mind.

  • A single entry point in Workplace Central under Space Planning.

  • Neighborhood stats at a glance: total capacity, assigned spaces, assigned users, and assignment ratio.

The Experience: What Workplace Managers Can Now Do 

1. Space Planning Hub 

The Space Planning module gives Workplace Managers quick navigation to three key areas previously scattered across the platform: spaces, workplace users, and neighborhoods. From this single hub the following actions can be completed: 

  • View all spaces in a list view with advanced filtering options to view the list based on specific conditions which can look at any space record data or any related list.

  • Select multiple spaces and bulk-edit space data as well as define the neighborhood allocation in one action.

  • Open workplace profiles to review or update a user's primary and additional location assignments.

  • Access, create and manage neighborhood records with real-time stats on space count, user count, and assignment ratio.

2. Visual Map Experience 

The heart of the admin experience is the interactive floor map. The Workplace Manager can select a campus, building, and floor to open a live map view or use the search function to search for a space or user and have the map open. The map is the central interface not a secondary panel and is complemented by a left-hand stats panel showing: 

  • Total count spaces, count of assigned profiles, assignment ratio, total effective capacity and count of unassigned spaces on the floor.  
  • Actions buttons to select spaces, select users or add users. 
  • Neighborhood allocations available on the selected floor.  
  • Breakdown of the space types.

In addition to the left panel, the several capabilities are available to the Workplace Manager to:  

  • Search for a specific space or user and view their profile information prior to assigning or unassigning them to a space.

  • Filter the map view and have the map color coded based on neighborhood allocations or space types. 
  • Distinguish unassigned spaces from those with a plain location assignment versus a neighborhood-based assignment using the icons.

  • Act on the map, by selecting a specific space or circling a bunch of spaces with the lazzo capability to edit the space details or edit the allocation and/or assignment.

  • Open Map Studio for underlying map edits (with appropriate role & permissions). 

3. Bulk Actions 

One of the most impactful capabilities is bulk selection and action, which help Workplace Managers update, assign, or allocate multiple records at once eliminating the repetitive, one-by-one work that slows down daily operations.  

  • Select spaces by filter: Choose spaces by neighborhood, space type, floor, or any combination. The selected spaces highlight on the map simultaneously. 
  • Bulk allocate or unallocate: Move a set of spaces from one neighborhood to another in a single save action. 
  • Bulk assign or unassign users: Clear all user assignments from a selection of spaces, or assign users to a neighborhood using department or cost center criteria. 
  • Select users by criteria: Add users to a floor or neighborhood by filtering on attributes like department or any relevant information from their profile. 

4. Neighborhood Management 

neighborhood is a designated zone within a floor or building that groups workspaces by team, function, or activity type. Instead of assigning employees to fixed desks, neighborhoods give organizations a structured way to manage where teams sit balancing flexibility with intentional space allocation. Within Workplace Service Delivery, neighborhoods are used to guide and enforce reservation behavior, enforce capacity policies, and ensure the right people have access to the right areas. 

 

The neighborhood tab within Space Planning enables Workplace Managers to create and manage neighborhoods from a single view providing them with a high-level overview of their status as well as the type whether restricted or unrestricted.

Diving into a specific neighborhood will surface stats that were previously invisible: how many spaces belong to a neighborhood, how many users are assigned, and what the assignment ratio looks like.

Within each neighborhood, the Workplace Manager can view and edit the following information: 

  • Details which contain the neighborhood name, short description along with the status and restriction parameters 
  • Spaces, to leverage the advanced filtering option to add and remove spaces that should be part of the Neighborhood  
  • Workplace Profile Locations, to assign and unassign workplace profiles to the Neighborhood this will automatically update their Workplace Profile Location Assignment 
  • Space Assignment Tasks, to set up a task that will run to assign spaces from either the sn_wsd_core_room or sn_wsd_core_space table to the neighborhood instead of manually selecting individual spaces 
  • User Assignment Rules, to define a set of conditions on which workplace profiles should be considered and assigned to the selected neighborhood. These rules run as daily scheduled jobs and automatically update neighborhood assignments as employees move between teams. For example, a user who transfers from one team to another can be automatically reassigned from one neighborhood to another without manual intervention. 

The Workplace Manager can also open a neighborhood record directly from the map view to select a specific neighborhood and take bulk action on it instantly. Whether assigning users to the neighborhood or viewing the different space types that are included on the selected floor for this neighborhood or just checking the assignment ratio and capacity.
