Configure quote document generation

  • Configure the generate document event in CPQ so that users can produce a PDF quote document from a completed quote.

    Before you begin

    A PDF document template must be created and available in the ServiceNow PDF document capability before configuring this integration.

    About this task

    The generate document feature uses the ServiceNow PDF document capability to produce a quote document. Reference fields on the quote can feed values directly into the document template. The generated document is attached to the quote record and is accessible inline from the quote interface.

    Administrators must configure the generate document event and its integration. The feature is partially productized — the PDF capability integration is provided, but the event configuration and document template customization require administrator setup.

    Procedure

    1. Navigate to All > CPQ Administration > Integrations.
    2. Locate or create the service call for PDF document generation and configure it to reference the ServiceNow PDF document capability.
    3. In the document template, add merge fields that correspond to the reference fields on the quote that you want to include in the generated document.

      Reference fields must be configured on the quote header or lines before they can be used as merge fields in the document template.

    4. Associate the service call with the generate document event in the Transaction Manager blueprint.
    5. Select Save.

    Result

    When a user selects the generate document event on a quote, Transaction Manager calls the PDF document capability, generates the document using the configured template, and attaches the output to the quote record. The user can access the generated document inline from the quote interface.
