Xanadu Deep Dive – HRSD – Employee Journey Management

 

Exploring the latest features and enhancements for Employee Journey Management

 

This blog aims to be a deep dive blog on the features for Employee Journey Management in the August 2024 store and Xanadu family release. Some of the features may have dependency on a family release. This will be called out in the feature section. 

 

Refreshed Journey Analytics

 

  • Persona: HR admins, HR leaders, Onboarding Coordinators, HR agents

Before we get into the details of the August store and Xanadu releases, in the May Store release, Journey Designer v4.1 was made generally available and includes new dashboards with purpose-built analytics to track and measure the performance of various employee journeys. These dashboards, redesigned and rebuilt based on customer feedback, leverage the Next Experience analytics framework.

 

The two new dashboards are Journey Overview and Executive Journey View. The first is designed for HR Agents, Onboarding Coordinators, HRBPs, etc. that need to manage the day-to-day aspects of employee journeys and identify and mitigate challenges keeping journeys from being completed. The second is designed for leaders to track the performance of their journeys at the org-level, monitor trends, and report on KPIs like SLA adherence.

 

Each dashboard allows users to filter data by region, journey type, date, etc., enabling a deep dive into specific journey programs. Delivered out of the box, these dashboards can be customized or changed to meet unique customer requirements.

 

When Journey Designer v4.1 is installed on an instance, the previous dashboards will be removed, and users will be automatically redirected to the refreshed dashboards.

Manager Task Reassignment

In Journey Designer v5.0, comes the ability to automatically reassign manager-related journey tasks. This feature addresses customer requests to update assigned tasks when there is a change in the employee’s reporting structure. This enhancement helps alleviate the burden on HR agents to manually reassign tasks and ensures continuity in employee journeys even when there is a change in manager mid-journey.

 

Admins will have the ability to define which employee journeys should be updated with a new field on at the journey configuration level (called Update on Manager Change). By activating this field, the system will look for any changes to the employee’s reporting structure on their User profile.

 

If there is a change and the field has been flagged on the journey configuration, it will trigger a flow (called Manager Change for Journeys) that will reassign any tasks, both Lifecycle Event and Journey Accelerator tasks, to their new manager. In addition, the new manager, old manager, and employee will be notified of the change. By default, this Flow is delivered as "read-only" and “inactive," customers will need to activate it, as well as check the field on the journey configuration, for the feature to function properly.

 

Please note, the new manager will need an HR Profile for the reassignment workflow to work properly and e-Signature task types are not supported at this time and will require manual reassignment.

Pre-built Journey Workflows

 

  • Persona: ServiceNow admins, HR admins, HR leaders
  • Dependencies: Vancouver family and Journey Designer v5.0 (August store release)

To accelerate the implementation of different types of journeys, Journey Designer v5.0 introduces pre-built journey demo data templates. This update includes three new journeys: New Hire Onboarding, Voluntary Separation, and Parental Leave of Absence.

 

Please note, these pre-built workflows serve as examples, helping customers quickly get started and have examples to expand usage to down the road but are not intended to be used directly in production. Customers can clone and configure them to fit their specific needs.

 

The Parental Leave of Absence journey also has an accompanying pre-built microsite to help customers provide one place for employees to learn about the leave process and open a leave request. This is an example that customers can configure for the specific needs of their organizations.

 

To install, ensure the “install demo data” field when installing or updating the HR Core, Lifecycle Events, Lifecycle Events for Enterprise, and Journey Designer apps.

Feature Enhancements in Journey Designer v5.0

  • Dependencies: Vancouver family and Journey Designer v5.0 (August store release)

Continuing the commitment to improving the Journey experience, Journey Designer v5.0 brings several enhancements to existing features:

 

  • Managers can now share Journey Accelerator task templates with other managers and can see a library of tasks created by other managers
  • Users are automatically redirected to the Journey Details page after task completion
  • All Journey Accelerator plans/stages/tasks are deleted when a Journey is cancelled
  • Journey Accelerator tasks can now support due dates based on any dot-walkable date field.

These improvements help ensure a seamless and efficient journey management experience for employees, managers, agents, and admins.
