Hi @absnow ,

The Lifecycle Event workflow that you mentioned is used within the Enterprise Onboarding & Transitions product.  These workflows drive the process and activities as configured within the product; therefore these workflows should not be modified.  The Enterprise Onboarding and Transitions application was built to allow users to easily configure any complex HR process (ex: onboarding) and assign all related tasks/activities (employee and manager) based on their necessary conditions of when they should be triggered.  I recommend reviewing the Enterprise Onboarding and Transitions product documentation to learn more about this.  This is a separately licensed application within the HR product so you will want to confirm with your Account Executive that your organization is licensed for the application.

Mark my answer correct & Helpful, if Applicable.

Thanks,

Sandeep

Hi absnow,

Creating onboarding within ServiceNow requires Lifecycle Events plugin.  There are two options, depending if you want for HR only or enterprise wide.  Both require a separate license/subscription, so be sure you are licensed for it before you activate and start using.

The requirements for what you need (e.g., employee name, location, manager) will depend on your specific process.  Each customer is different, and may even differ within your organization.  For example, managers and above have steps that non-management do not, therefore you would need to know the job position.  Some departments (e.g., IT) may have steps that are not required for other departments, therefore you will need to know the department upon creation of onboarding.  You will need to understand the onboarding process for all user types and locations to properly determine what data is required.

ServiceNow delivers a New Hire Onboarding Lifecycle Event template/example for you to review.  You can modify as needed to fit your process if it's easier.  If the process varies too much, you can clone that one or create one from scratch.

I would recommend you research and practice building lifecycle events before jumping into this, and it will require time to analyze and build out the process as a whole, as well as know what should take place in ServiceNow and when.  If building enterprise wide onboarding, meet with the individual teams/departments as well as them all together to confirm the flow.  Most companies work in silos and do not realize the dependencies they have on others (e.g., AD account must be created before other system access can be granted or laptop ordered; ServiceNow access needed before you send the new hire a link to knowledge article on what to expect on day 1).
