Have you ever tried to use flow stage templates? It’s a convenient feature, however, what if you want to create your own templates to represent your fulfillment process or add a unique set for a type of request (access, software, hardware, etc.)
First off stages are of primary use for catalog item fulfillment and communicated the stage of a requested item to the end user throughout the lifecycle of the request.
Accessing flow stages
- Flow stage templates are available within your favorite flow, by clicking in the top right corner three dots
then selecting flow stages.
- From here in the top left select from the dropdown the template selection.
- Once you select the desired template click Add Stages
- You can import multiple Flow stage templates if desired.
Setting up Flow Stage Templates
- Navigate to Workflow > Stage Sets (Yes, this goes back to Workflow) or use stage_set.list from the filter navigator
- Create and save a new Stage Set record and name it appropriately. I named mine “Hardware Request Stages”
- Within the stage set record create multiple Stage Set Entries to describe the flow.
- Remember user understandable language is important.
- Bad new: The order of these records is not honored when using templates so despite the order defined you will need to review and fix the order later.
- Duration value is not available on the form by default. Either add Duration to the form of modify in the list.
- One final note. Typically, when you set the final stage as Complete the Requested item (RITM) state will also be set to Closed Complete. This only happens if the value is correct, so it is important that the final Stages Set Entry values are set properly. As you can see, I intentionally did this incorrectly by setting value to compete2, this should have been complete.
- The follow values need to set exactly to ensure this happens
- Request Cancelled
- complete
