What is the function of owning group in the control record form when creating a control?

Dear experts,

 

I have a question regarding to the control lifecycle, when creating a control, what function is the owning group here as in after I put in my owning group, it does not appear in anywhere in any of my group members' task list. After I click attest, only the attestation respondent will receive a task and after completing the attestation form, no one in the owning group is informed to review the attestation response. May I know how can I do so? If I want to assign someone to review the attestation form and will receive as a task to do so? Thank you.

  1. navigate to the Notifications section by typing "Notifications" in the application navigator and selecting System Notification > Email > Notifications.
  2. Click the New button to create a new notification.
  3. Fill in the notification details, including a name like "Control Review Notification," and select the Control [sn_compliance_control] table. Ensure the notification is active by checking the appropriate box.
  4. Next, set the trigger condition in the When to send section by choosing Record inserted or updated and setting the condition to trigger when the state changes to "Review."
  5. Specify the recipients in the Who will receive section by adding the users or groups who should receive the notification, such as the owning group or specific users. You can use dynamic fields if needed.
  6. Craft the notification message by writing a clear and concise subject, such as "Control [Control Name] is now in Review," and use the Message HTML editor to compose the notification message.
  7. Include relevant details and dynamic fields for personalization.
  8. For example, you might write:
  9. "Dear $Recipient,
  10. The control ${number} has been moved to the Review state.
  11. Please review the attestation form and provide your feedback. Thank you, Your Team."
  12. Choose the delivery method, such as email or in-app notifications, and ensure that the notification creates a task for the recipients to review the attestation form.
  13. Finally, save the notification settings and test the notification by moving a control to the Review state to verify that the recipients receive the notification and task.
