No License required for approvals through email. If I am an approver, I don't need a role or license to approve a request neither on UI nor Email

Hi,

If in case approval engine mechanism has been implemented via Inbound email actions, wherein approvals or rejections are provided through email, then no license is required for this mechanism.

However, if in case a user provides approval via the UI front end, i.e. if a user has an out-of-box "approver_admin" role and if they grant the approval/rejection by clicking on any of the UI related features like- UI action, context menu's etc., then they will fall into the category of an "approver" license type. The fee for an approver license type is nominal and it varies from account to account, based on the Purchase order contract signed between ServiceNow and your client team. This can also be verified by contacting your ServiceNow sales relationship manager.

Regards,

Mishu

Hi vluttrell,

If you are implementing approval using emails then it don't require any additional license cost. But if your are providing the user with approver_user role then it requires a license as this role allows a user to use the approval UI directly for processing approvals.

You can use the OOB "Update Approval Request" inbound action for making use of the email approval feature.

The email approval feature do not require license and all users with an email address can access it. If you want details on the approver_user role, then it best you contact your Service Now sales rep.

You can also read few more additional information here Approver and itil license.

Please mark it correct or helpful, if it works

Warm Regards,

Priyanka

I want to ask this question a bit differently, if I have someone who is only doing approvals and no other access in ServiceNow, can this be done via email without any license requirement? like an approver or fulfiller license? Thanks
