As we embark on the exciting ride that is 2024, we thought it would be a good time to reflect on the many accomplishments, milestones and stories that marked a successful year for ServiceNow’s Workplace Service Delivery. Many of these could not come without the great input from our customers like you. Last year, we continued to streamline workplace operations, helped teams plan for the future and redefined the employee workplace experience. So, let’s look back on the key highlights and new applications that are helping transform the workplace experience for our customers and employees alike. 

 

In 2023, ServiceNow Workplace Service Delivery maintained its commitment to delivering innovative workplace solutions that elevate employee experiences. From optimizing workplace capacity to simplifying workplace management, Workplace Service Delivery introduced multiple net new top-level applications that continue to boost departmental productivity and help make the workplace work.

 

New Additions to Workplace Central

Throughout the year, Workplace Service Delivery announced the introduction of various new features to Workplace Central. Within the centralized workspace, workplace managers gained access to Workplace Lease Administration, Workplace Maintenance Management, and received enhancements to our space and reservation management applications.

Workplace Lease Administration

Efficiency and simplicity are key to successful workplace management. Workplace Lease Administration allows lease managers to easily track and manage all workplace lease contracts from a single interface. Whether it’s lease contracts, spaces, or workplace assets, ServiceNow Workplace Service Delivery streamlines the lease administration process. Without having to navigate to a separate application, Workplace Lease Administration enabled lease managers to track ongoing workplace contracts, create new lease agreements, trigger notifications for expiring leases, and define lease details all in one place.

Workplace Maintenance Management

Visibility is key to success. With the workplace, it’s important to our customers that thorough and organized maintenance is carried out on a scheduled basis. To uphold workplace standards, maintenance managers are required to evaluate incoming maintenance cases and execute maintenance plans accordingly. We recognize that this can be daunting for workplace managers without a proper system or workflow set in place. With Workplace Maintenance Management, workplace managers can easily create maintenance plans on workplace assets and locations, view preventive maintenance cases, as well as log any issues related to maintenance, messes, or breaks. From the maintenance dashboard, workplace managers can quickly view key information on current maintenance cases, plans, and draft plans. Each case displays its overall status, location, category, and date last updated. Creating maintenance plans has never been easier with the use of intake forms that allow workplace managers to quickly input maintenance plan details and define a schedule for when maintenance is performed.

Workplace Connectors

Data is the driving force for all decision-makers within the workplace. The introduction of Workplace Connectors presented a new way for organizations to collect occupancy data and insights from their own badging systems. From the Workplace Analytics dashboard within Workplace Central, facility managers can track employee headcount per-day, on-average, and over certain periods of time. Analyzing these headcount trends allow facility managers to understand employee attendance to develop plans to make better use of and optimize workplace facilities. With countless ways of configuring this badging data, facility managers can better connect employees and the workplace.

Health & Safety Within the Workplace

New Health & Safety features were also launched this year. Safety within the workplace is and should always be important above all. To keep our customers aligned with health and safety standards, ServiceNow Workplace Service Delivery introduced the Health & Safety OSHA Compliance Pack. With this add-in, customers could easily generate OSHA forms, incident lists and records, and assign incident cases to investigators who are then able to correct and take preventive action. These capabilities provided Health and Safety teams with the ability to track health and safety incidents filed by both employees and guests. This works to ensure that both visitors and employees alike are always safe and accounted for. Should an incident occur with a visitor, employees can easily navigate to the Employee Center and submit an incident report that is routed directly to a Health and Safety agent for review. In Q3, the acquisition of ToolBox OH&S technology helped to accelerate our health and safety roadmap. With this acquisition, we’re excited to continue building out comprehensive health and safety solutions for our customers. Overall, enhancements to Workplace Service Delivery’s Health & Safety applications offer Health and Safety Operations teams to understand workplace risks and create plans to mitigate workplace hazards in the present and future.

Additional Milestones and Accomplishments

From space to reservation management, 2023 saw improvements across the entire solution.

 

Map-based Space Administration enabled space planners to make single or bulk edits directly to the map in addition to adjusting a neighborhood’s assignments and attributes. With a similar view, space planners can also make changes to employee neighborhood assignments. Using a stack plan view, space planners can select any neighborhood and edit employee assignments by adding or removing users.

Move Scheduler redefined bulk move requests, and workplace managers can now create projects composed of a move’s details, a calendar view or move schedule display, and a scenario planner to test and deploy move projects.

With Workplace Event Planner, space planners and administrators are equipped with a visualization of current reservations and spaces that are available. With access to reservation details and map filters, reservation admins can quickly modify reservation details through a simple drag-and-drop interface.

Having trouble reserving a space? Space Recommender provides team managers with space request assistance and narrows down space options with a few simple criteria. Upon inputting a request, team managers will be prompted with recommendations and given map layouts to improve option visualization and make decisions fast and simple. This makes it easier for teams looking to relocate or expand on the spaces allocated to them.
