I have seen a few questions about this and had it myself. With the current company I am working for it was a requirement that all emails are kept in their email system. They could not have a POP3 or IMAP enabled mailbox. I came up with the following solution.
- Setup ServiceNow to send emails using a mailbox setup on our exchange server.
- Left ServiceNow's POP3 configuration enabled.
- Had our exchange admins redirect all emails it received to the ServiceNow email address so it can be process via ServiceNow's POP3 mailbox.
This not only provided extra security with our spam filtration and antivirus it also allowed us to keep a copy of every email.
I have been using this config starting with the New York release, so we have gone thought several patches as well as 2 upgrades without any issues on the ServiceNow side. We also switched to O365 without issue.
