Workplace Case Management - IFM Integration Framework

The new Integrated Facilities Management (IFM) integration framework delivers a better-together experience between Workplace Service Delivery and third party Facilities Management (FM) providers by automatically converting Workplace Cases into FM work orders through seamless bi-directional integration — eliminating fragmented portals while maintaining real-time service visibility across the entire lifecycle.

A new unified map-based experience gives Space Planners tools to assign, manage, and optimize users, spaces, and neighborhoods across their entire real estate portfolio in Workplace Central, eliminating fragmented workflows and turning space administration into a strategic advantage.

Now Assist for Workplace Service Delivery – Workplace Collaboration Agent

Planning an intentional office day shouldn't require juggling calendars, guessing when colleagues will be onsite, and navigating multiple tools just to book a workspace. The Workplace Collaboration Agent, released in January 2026, brings all of that together in one conversational AI experience, helping employees to maximize their in office time.

 

Why It Matters

  • Turn office days into collaboration opportunities: By analyzing reservations and colleague presence data, the agent recommends the days with the highest opportunities for in person collaboration.

Workplace Reservation Management – Invitee Availability in Reservations

Coordinating a space reservation shouldn’t mean checking calendars in one place and reserving a space in another. With this release, WSD closes that gap by integrating invitee availability directly into the reservation flow within Exchange Online, allowing employees to view colleague schedules, identify the best time slot, and confirm a booking all through the same experience.

 

Why It Matters

  • Eliminate scheduling conflicts: Employees see real-time availability for all invitees before committing to a space, ensuring office time is spent collaborating rather than rescheduling.
  • Maximize collaboration opportunities: Suggested time slots surface the best windows for the whole group, making it easier to align schedules and get the most out of every in-person meeting.
  • Reduce friction for mixed attendee meetings: External visitors can be added in the same flow, and their details are retained throughout, removing the need to re-enter information when adjustments are made to reservations.

Automated Seat Assignment for New Hires

Seamlessly connect the HR onboarding process with workplace seat assignment to auto-assign workspaces based on business requirements business rules, ensuring every new hire knows their Day 1 workspace.

  • Flexible assignment at every level: Workspaces can be auto-assigned at the neighborhood or space level based on business requirements giving Workplace teams the precision to place new hires in the right area or the right desk, without manual research or decision-making.
  • Governed, transparent, and fully connected: User profiles are updated automatically, managers and new hires are notified, and configurable approval workflows maintain governance without creating bottlenecks, keeping HR and Workplace teams aligned without the back-and-forth.

Workplace Central - Facility Assets and Models in Workplace Central

New list views in Workplace Central enable facility assets and model data to be visualized within Workplace Central, giving teams a single, accessible source of truth with role-based control.

Workplace Reservation Management – Enhanced Recurring Reservation Patterns

Prior to this release, recurring reservations in WSD supported three patterns (daily, weekly, and monthly). With this release, five new ready-to-use patterns are introduced alongside a fully configurable editor, allowing employees to define any combination of days, intervals, and end conditions.

Workplace Calendar Synchronization - Personal Authentication for Google Calendar

Google Calendar sync in WSD previously relied on a shared system-level token, processing all calendar actions through a single administrative account. With this release, authentication now occurs with individual Google accounts.

  • Give employees full visibility into their own reservations: Bookings appear directly in each employee's personal Google Calendar, ensuring their schedule is always accurate and up to date.
  • Increased autonomy: Employees take control of their own reservations through Google Calendar, reducing dependency on super admins and streamlining the booking experience.
  • Enhanced security for the employee : with this release, the employee can use their credentials to access WSD reservations without having to rely on someone else managing them.

Workplace Indoor Mapping: Enhanced Map Printing

With this release, WSD introduces a significantly enhanced map printing experience, moving to fully rendered PDF output and a configurable data overlay system. Facilities and space planning teams can now generate high resolution, multi-floor exports overlaid with live workplace data giving them a more powerful and flexible tool for space planning and stakeholder communication.
