reduced Article Visibility for Fullfillers on Portal only

Hi there,

We have a knowledge base setup on our Servicenow Instance and make frequent use of User Criteria/ Can Read Cannot read, eg to limit articles e.g. by Country or Legal Entity. This works well for our employees and managers who only can find content which is relevant to them (e.g. vacation policy in their country)

For our Fullfillers (e.g. HR Agents) working in Services Centers who have contribute access to the knowledge base as they provide feedback to the content owner based on daily usage as well as need access mostly all articles sometimes in their daily work, the experience while acting as  Fullfillers is also good.

The issue starts if a Fullfiller is now acting as an employee (e.g. to apply for maternity leave). The desired behaviour would be that on the employee center pro Portal he only sees the relevant articles for his/her country, but of course he sees them all.

So our current desired behaviour would be to also adjust the visibility depending if the user is looking at an article from the portal or from the Workspace. Of course other waya to achieve the result are also welcome!

Does anyone have any ideas for this? It feels to me like a basic use case from a business point of view but I couldn't find anything or other questions which go in this direction? Are my Fullfillers just to demanding? 🙂

Thanks for some insights!

Matt

Hi @Matt Heger

"The issue starts if a Fullfiller is now acting as an employee"

You are writing about two different persons a user should have, but this is not possible in ServiceNow and makes no sense at all. The only way I see is creating two different accounts for an individual user to reflect these two different personas.
