Summary of Using latest assessment template for conducting BIAs
Starting with the Yokohama release, ServiceNow introduces integration of the Business Impact Analysis (BIA) with the Smart Assessment Engine (SAE). This enhancement allows customers to use a modernized BIA assessment template that supports various question types, automation, and advanced metrics calculations, improving accuracy and efficiency in impact analysis.

Key Features
- Smart Assessment Integration: Enables configuring multiple impact analysis templates for a single BIA and automates calculations of Recovery Time Objective (RTO), Recovery Point Objective (RPO), Recovery Tier (RT), Maximum Tolerable Period of Disruption (MTPD), and other metrics based on user responses.
- Flexible Question Types: Unlike the legacy template’s dropdown-only questions, the Smart assessment supports diverse question formats and automated response population from existing data.
- Automation and Workflow: BCM administrators can set up automation rules that trigger updates to impact analysis data once assessments are submitted, reducing manual effort and errors.
- Role-Based Access and Actions: Specific roles such as BCM administrators, contributors, planners, and viewers have defined permissions for creating, configuring, reading, and editing Smart assessments. UI actions like "Open assessment" and "Edit assessment" are tailored to these roles.
- User Experience: Smart assessment templates can be configured and managed via the Business Continuity Workspace, with assessment instances accessible in read-only or edit modes depending on user roles.
Roles and Responsibilities
The integration relies on distinct BCM and Smart Assessment roles to ensure proper governance and control:
- Administrators and BCM Administrators: Setup and configure Smart assessment templates, define automation rules.
- BCM Core Viewer and Program Manager: Provide read access or update capabilities to Smart assessments based on assigned roles.
- BCM Contributors and Planners: Participate in assessments by filling out or editing responses as permitted.
- BIA-specific roles: Viewers, contributors, planners, and managers have defined privileges for reading and responding to BIAs at various states.
Practical Benefits for ServiceNow Customers
By adopting the latest Smart assessment template for BIAs, customers can expect:
- Enhanced accuracy in impact analysis through automated metric calculations.
- Greater flexibility in designing assessments with multiple question types.
- Streamlined assessment processes reducing manual workload and errors.
- Improved role-based controls and user experience via BCM Workspace integration.
- Ability to maintain both legacy and Smart assessment templates during transition.
Beginning with the Yokohama release, you can use the latest assessment template for conducting a Business Impact Analysis (BIA). The BIA template is now integrated with the Smart Assessment Engine, enabling you to use the Smart assessment along with the legacy assessment.
Integrating BIA with the Smart Assessment Engine
Integrating business impact analysis (BIA) with the Smart Assessment Engine allows you to configure impact analysis assessments with various question types, set up multiple impact assessment templates for a single BIA, and calculate metrics such as Recovery Time Objective (RTO), Recovery Point Objective (RPO), Recovery Tier (RT), Maximum tolerable period of disruption (MTPD), and other based on user responses.
A BIA created with the Smart assessment template includes Smart assessment instances in the assessment section. The assessment template introduced with the Smart Assessment Engine allows you to create various question types and automate responses from existing data sources. BCM users can complete the assessment, and upon submission, the automation set up by the BCM administrator triggers to update impact analysis data, including recovery time objective (RTO), recovery point objective (RPO), recovery tier, or maximum tolerable downtime, based on the defined configuration.

Workflow for integrating BIA with the Smart Assessment Engine
The ServiceNow® Smart Assessment Engine (SAE) application helps you to reduce the manual burden and costs of your assessment processes through automation. You can create the assessment templates and add instructions, questions, and reference information by using the template designer in the Smart Assessment Engine application.
The Smart Assessment Engine uses the rule engine, where the rules are based on user responses. You can fill one assessment template (only one assessment for RTO, RPO, and RT) or multiple assessment templates (one for each RTO, RPO, and RT).
The workflow for integrating BIA with the Smart Assessment Engine is shown in the illustration.
Configuring BIA templates
You can configure the BIA template with the legacy or Smart assessment. The legacy assessment shows only drop-down questions, while the Smart assessment enables multiple question types and configures RTO, RPO, and recovery tier calculations based on the responses to the questionnaire. For more information, see Setup for a business impact analysis.
